Designation: Front Desk & Administrative Executive
Reporting To: Manager – HR cum Operations
Location: NSP, Delhi.

Front Desk & Administrative and Executive
1. Reception & Guest Management
Serve as the first point of contact, providing a professional and welcoming experience for all visitors, clients, and employees.
Manage incoming calls, direct them to the appropriate departments, and handle inquiries efficiently and professionally.
Maintain a clean, organized, and presentable reception area that reflects the company’s corporate image.
Maintain visitor records, issue visitor passes, and ensure adherence to security protocols.
Prevent unauthorized individuals from entering the office premises without prior information. If a visitor does not have valid authorization or a legitimate reason to enter, the reception must deny entry.
Ensure a seamless visitor experience by coordinating with internal teams for meetings, appointments, and hospitality arrangements.
2. Office Administration & Coordination
Act as a key liaison between departments to facilitate smooth office operations.
Oversee inventory management for office supplies, stationery, and pantry items, ensuring timely procurement.
Coordinate with facility management for office maintenance and housekeeping.
Ensure timely submission of administrative reports, including expense tracking and vendor payments.
Maintain administrative records, office supplies, and asset documents in an organized manner.
Ensure compliance with company policies and regulatory requirements related to office administration.
Assist in vendor coordination and ensure quality service.
3. HR & Employee Support
Assist the HR team whenever required by management.
Maintain the attendance register.
Support HR with employee documentation and onboarding formalities.
Monitor whether all staff, from senior to junior management, adhere to company policies, rules, and
regulations during office hours. Report any unethical behavior or violations of the company’s work culture
to the concerned department immediately.
Handle employee grievances related to office facilities and escalate them to the appropriate department for resolution.
4. Meeting & Calendar Management
Manage and schedule meeting rooms, ensuring availability and seamless execution of meetings.
Coordinate internal and external meetings, including logistics, refreshments, and conference call setups.
5. Courier & Logistics Management
Handle incoming and outgoing couriers, ensuring accurate documentation and timely distribution.
Support the e-commerce team by packing orders properly and delivering them to the courier partner. Also, maintain physical and digital records of stock inward and outward movements, including shipment return details.
6. Discipline & Office Decorum
Ensure office discipline and decorum are maintained at all Ɵmes.
Monitor and ensure that all employees follow company policies, rules, and regulations
Immediately report any unethical behavior or violations of the company’s work culture to the concerned department.
Proactively identify and suggest improvements for workplace efficiency and employee comfort.
Addionally, you will be responsible for any other dues assigned by your reporting manager as per business requirements.
