Document Controller - Engineering Design
Job Description:
The document controller is responsible for managing, controlling, and maintaining all technical and project-related documentation for the Engineering and Design Department. This role ensures that documents are properly maintained, accessible, and up to date, in compliance with company and project standards, and that revisions are clearly tracked and distributed.
Key Responsibilities:
- Maintain and manage all incoming and outgoing engineering documents, including drawings, specifications, reports, and technical correspondence.
- Ensure proper document control procedures and standards (e.g., ISO 9001, internal quality systems) are followed.
- Assign document numbers, track revisions, and ensure proper approval processes are in place.
- Create and maintain document registers, transmittals, and logs for all controlled documents.
- Work closely with engineers, designers, and project managers to ensure timely receipt and submission of documents.
- Monitor document workflows and approval status.
- Archive and retrieve documents as necessary using document control systems
- Prepare reports and documentation status summaries for management and project teams.
- Conduct regular audits to ensure documentation accuracy and compliance.
- Ensure confidentiality and proper access rights for sensitive or restricted documents.
Qualifications:
- Diploma or equivalent; associate’s or bachelor’s degree in a related field preferred.
- Minimum of 5 years of experience in document control, preferably in an engineering or design environment.
- Familiarity with document control standards and best practices (ISO 9001, etc.).
- Proficient in document management software and MS Office Suite.
- Knowledge of engineering drawings and terminology is a plus.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
