Job Description:

Job Summary:

We are seeking a proactive and detail-oriented Executive Tender to support our Tender & Bidding Team. The role involves end-to-end assistance in pre-tender activities including sourcing tenders, coordinating documentation, compliance review, and internal coordination. The ideal candidate should be organized, deadline-driven, and comfortable working in a fast-paced, process-oriented environment.

Key Responsibilities:

  1. Tender Search & Opportunity Analysis
    • Daily monitoring of government and private tender portals (e.g., CPPP, eProcurement, GEM, MSTC, etc.).
    • Identify suitable tenders based on company’s scope and eligibility criteria.
    • Maintain and update the tender tracker on a regular basis.
  2. Document Preparation & Compilation
    • Prepare and compile necessary documents required for tender submissions including technical and commercial proposals.
    • Draft standard documents like cover letters, company profiles, authorizations, etc.
    • Coordinate with internal departments to gather relevant project experience, certifications, and financial data.
  3. Compliance & Quality Check
    • Review tender documents for accuracy, completeness, and compliance with client requirements.
    • Ensure all mandatory forms, annexures, and declarations are correctly filled and signed.
  4. Coordination & Follow-up
    • Liaise with finance, legal, engineering, and procurement teams for required inputs.
    • Coordinate with vendors/partners/sub-contractors for associated documents.
    • Follow up on submission timelines and ensure adherence to deadlines.
  5. Bid Submission Support
    • Assist in online and offline bid submissions.
    • Help upload documents on e-portals as per tender instructions.
    • Ensure submission acknowledgments and confirmation receipts are saved properly.
  6. Documentation & Archiving
    • Maintain physical and digital records of submitted tenders and supporting documents.
    • Assist in maintaining MIS reports and performance records of submitted tenders.
  7. Post Submission Assistance
    • Follow up on tender status (clarifications, corrigenda, pre-bid queries).
    • Coordinate for any revisions or resubmissions if required.
  8. Market Research & Vendor Coordination
    • Support in basic rate analysis, competitor mapping, and cost estimation inputs.
    • Reach out to suppliers/vendors for quotations, when necessary.

Qualifications & Skills:

  • Graduate in Engineering (Civil background preferred).
  • 1–3 years of relevant experience in tendering or pre-bid work.
  • Proficient in MS Office (Excel, Word, Outlook).
  • Familiarity with government e-procurement systems is a plus.
  • Strong communication, coordination, and analytical skills.
  • High attention to detail and process-oriented mindset.
