Job Description:

Position: Administrative Executive/Manager
Location: Gurgaon

Position Overview:

We are seeking a skilled and experienced Administrative Executive/Manager to oversee and manage
administrative operations, ensuring efficient workflows and a productive work environment. The ideal candidate
will play a pivotal role in office management, travel coordination, vendor negotiation, and compliance with
health and safety standards.
This role also includes handling employee travel bookings, managing visa documentation, and ensuring timely
updates and submissions through the HRMS portal. The candidate should demonstrate strong organizational
skills, administrative planning expertise, and the ability to implement effective policies to support the
organization’s overall efficiency and growth.

Key Responsibilities:
• Supervise daily office operations and maintain a well-functioning work environment.
• Ensure availability of office supplies and proper maintenance of equipment.
• Coordinate logistics for meetings, conferences, and internal events, including venue booking, catering,
and technical support.
• Organize and manage domestic and international travel for employees, including ticket bookings and
visa-related documentation.
• Handle employee travel expenses, reimbursements, and claims through the HRMS portal.
• Manage workspace allocation and maintain office security, cleanliness, and health & safety compliance.
• Identify, evaluate, and negotiate with vendors for office supplies and services.
• Monitor and manage administrative expenses within the allocated budget.
• Coordinate maintenance and servicing of office infrastructure, equipment, and IT systems.
• Oversee regular inspections, repairs, and installations as required.

Qualifications and Skills:
• Bachelor's or Master's degree in Business Administration, Management, or a related field.
• Certifications in Office Administration, Facility Management, or Project Management (e.g., PMP, Six
Sigma) are highly desirable.
• 3–6 years of experience in administrative management, office operations, or facility management.
• Familiarity with travel booking tools and HRMS/expense management systems.
• Proficiency in office productivity tools (e.g., MS Office Suite, ERP systems, scheduling software).
