Job Summary

The Administration professional is responsible for overseeing and managing day-to-day administrative operations to ensure smooth functioning of the office/facility. This includes supervision of support staff, vendor management, facility upkeep, asset and inventory management, and ensuring compliance with company policies.


Key Responsibilities

  • Manage office infrastructure and facility maintenance (cleaning, security, utilities, etc.)

  • Monitor and manage administrative budgets and petty cash expenses

  • Supervise support staff such as housekeeping, drivers, security, and maintenance personnel

  • Coordinate travel arrangements, hotel bookings, and transport logistics for staff and guests

  • Maintain and track inventory of office supplies and ensure timely procurement

  • Ensure upkeep of office equipment, furniture, and premises

  • Coordinate AMC (Annual Maintenance Contracts) and service schedules for equipment

  • Handle vendor selection, negotiation, and management for administrative services

  • Maintain records related to office assets, repairs, and service logs

  • Ensure adherence to health, hygiene, and safety guidelines

  • Manage courier, postal services, visitor management, and reception services

  • Support event arrangements like meetings, training, celebrations, or audits

  • Handle compliance requirements related to facility management (e.g., fire safety, insurance)

  • Manage ID card issuance, parking allocation, and general coordination activities


Skills & Competencies

  • Strong organizational and multitasking skills

  • Good negotiation and vendor management skills

  • Ability to manage teams and contractors

  • Knowledge of administrative and facility operations

  • Good communication and interpersonal skills

  • Proficiency in MS Office, email, and reporting tools

  • Problem-solving and decision-making ability under pressure


Qualifications & Experience

  • Graduate in any discipline (preferred: BBA/B.Com/BA)

  • Minimum 2–6 years of experience in administration or facility management
