Investment Operations Executive
Job Description:
The role is responsible for supporting and managing the lifecycle of all investment activities—across direct equities, mutual funds, PMS and AIF—by overseeing daily operations, data reconciliation, documentation, banking, and robust reporting. The role is crucial in ensuring data accuracy, process discipline, timely settlements, and seamless information flow for stakeholders and auditors.
Key Responsibilities .
Investment Data Management & Reconciliation ·
Maintain, review, and regularly update Google Sheets and portfolio management software with details of all investments, including cost, market value (MV), ISINs, transaction dates, brokerage costs, and other key fields ·
Oversee daily trade/cash and position reconciliation across multiple platforms, comparing internal and custodian/broker data, and resolving any discrepancies with supporting audit trails ·
Aggregate investment account balances monthly and prepare full-cycle reconciliation for all funds and investment portfolios (PMS, AIF, MF, equities) .
Transaction Processing & Banking Operations ·
Prepare and execute investor payments and investment-related bank transfers via RTGS, NEFT, and CMS, ensuring all supporting documentation is collected and presented for approval ·
Coordinate with banks, custodians, and brokers to ensure correct, timely settlement of subscriptions and redemptions
Monitor real-time cash balances and investment activity, flagging significant variances, and ensuring internal records mirror bank/custodian positions exactly
Documentation & Compliance Management ·
Obtain, organize, and safeguard all investment statements, holding reports, and transaction confirmations from PMS/AIF/MF relationship managers, brokers, and registrars ·
Compile and maintain proper documentation ensuring smooth KYC, transaction authentication, and timely investment ·
Facilitate data/documents for investment purchases/redemptions, onboarding new investments, and responding to audit or statutory requests ·
Maintain log of regulatory deadlines and support timely regulatory filings as per mandated reporting cycles
Required Minimum Qualifications · Bachelor’s degree in Finance, Commerce, Accounting, Economics or any other equivalent degree in relevant discipline ·
Proven proficiency in Excel/Google Sheets and Tally ·
Working knowledge of RTGS/NEFT/CMS, custody/broker operations, and reconciliation frameworks
Desirable Skills & Competencies ·
Diligence and accuracy in data entry and documentation ·
Strong written and oral communication for management reporting and external stakeholder interactions ·
Ability to work under tight deadlines, multitask, prioritize effectively ·
Teamwork orientation, and tactful collaboration across multiple departments and service providers ·
Willingness to learn new systems, frameworks, and financial products as the industry and organisational requirement evolves
