Job Description – Procurement & Costing Executive

Position Overview

We are seeking a highly skilled and detail-oriented Procurement & Costing Executive to manage vendor relations, execute procurement processes, and conduct accurate cost analysis to ensure project profitability. The role requires strong coordination with project managers, designers, and finance teams to forecast material requirements, prepare cost estimates, and ensure timely and cost-effective procurement.

Key Responsibilities

• Procurement & Vendor Management

  • Manage and control vendors to ensure quality, cost-effective material supply.

  • Develop and maintain strong vendor relationships with effective negotiation skills.

  • Liaise with vendors and subcontractors to obtain accurate pricing and ensure successful order execution.

  • Continuously source and add new vendors to strengthen the supplier base.

• Costing & Documentation

  • Prepare detailed cost estimates based on design specifications, BOQs, and material aesthetics.

  • Accurately prepare and maintain BOQ for project costing.

  • Develop cost formulas for faster and more efficient costing.

  • Track actual costs against awarded contracts to monitor profitability.

  • Assist the finance department in analyzing project-related profitability.

  • Prepare sales invoices, purchase bills, challans, and e-way bills for authorisation and compliance.

• Project Coordination & Support

  • Work closely with project managers and designers to forecast procurement needs.

  • Ensure smooth coordination between departments to achieve project goals.

  • Maintain strong understanding of drawings, AutoCAD plans, elevations, and fabrication techniques to estimate costs effectively.

  • Research innovative materials and techniques to optimize procurement and cost efficiency.

• Systems & Reporting

  • Ensure accurate documentation and reporting of procurement and costing activities.

  • Utilize Microsoft Office (Word, Excel, PowerPoint) and industry-related software effectively.

  • Provide timely and transparent reports on vendor performance, procurement status, and costing analysis.

1. Vendor Management & Control

   • Quality material supplied.

   • Smooth coordination with design, finance, and project management teams.

3. Process Execution & Innovation

   • % Adherence to procurement and costing processes.

   • Number of innovative materials researched and introduced.

   • Number of new initiatives taken to improve procurement efficiency.

Qualifications & Skills

• Bachelor’s degree in Commerce, Engineering, Supply Chain, or related field.

• Minimum 2–5 years of experience in procurement, costing, or vendor management (preferably in project-based industries such as interior design, construction, or manufacturing).

• Strong vendor negotiation and relationship management skills.

• Proficiency in MS Office (Word, Excel, PowerPoint) and relevant industry software.

• Ability to read and interpret AutoCAD drawings, BOQs, and fabrication details.

• Strong analytical, organizational, and communication skills.

• Detail-oriented with the ability to manage multiple projects simultaneously.
