Job Description:
An Executive Assistant (EA) to the Managing Director (MD) provides high-level administrative and operational support, managing the MD's schedule, coordinating meetings, and handling communications. Key duties include acting as a point of contact, drafting correspondence, preparing reports and presentations, and maintaining confidential files and records. The role requires exceptional organizational, communication, and time management skills.
Core responsibilities
- Schedule and calendar management: Manage the MD's calendar, schedule meetings, and arrange travel and accommodations.
- Communication and liaison: Act as the primary point of contact between the MD and internal/external stakeholders, managing and prioritizing correspondence.
- Meeting support: Prepare agendas, schedule meetings, take minutes, and ensure the MD is fully briefed on meeting content and attendees.
- Document and presentation preparation: Draft correspondence, create presentations, and prepare reports and other documents on behalf of the MD.
- Record and information management: Maintain organized and confidential files, both electronic and physical, and retrieve information as needed.
- Project and operational support: Assist with project coordination, generate MIS reports, and handle various administrative tasks to ensure smooth day-to-day operations.
