We are seeking a smart and proactive Administrative Coordinator to support daily operations, site activities, tender processes, and overall communication flow across the organization. The ideal candidate should have strong computer skills, excellent communication abilities, and the ability to coordinate effectively between office, site teams, and stakeholders.

Key Responsibilities:

Administrative Coordination

  • Manage day-to-day administrative tasks and assist internal teams in smooth workflow.
  • Maintain proper documentation, filing systems, and office records.
  • Prepare MIS reports, trackers, and data sheets as required.

Site Coordination & Follow-ups

  • Coordinate with site supervisors, engineers, and field teams for daily updates.
  • Follow up on project requirements, material movement, manpower status, and progress reports.
  • Ensure timely completion of tasks through continuous communication and tracking.

Tender & Documentation Support

  • Support tender preparation, documentation, formatting, and submission.
  • Maintain and update tender files, eligibility documents, and compliance papers.
  • Coordinate with vendors and internal teams for necessary tender inputs.

Computer & Technical Skills

  • Use MS Excel (including Advanced Excel functions), MS Word, and other tools for reports, spreadsheets, and documents.
  • Prepare letters, official drafts, quotation formats, and other administrative documents.

Communication & Email Handling

  • Draft professional emails, letters, and communication on behalf of the organization.
  • Communicate effectively with clients, suppliers, officials, and internal teams.
  • Handle phone calls, follow-ups, and scheduling of meetings.

Required Skills & Qualifications:

  • Graduate in any discipline.
  • Strong knowledge of MS Excel, Advanced Excel, MS Word, and emailing.
  • Good communication skills (verbal & written).
  • Smart, confident, and well-organized individual.
  • Ability to handle multiple responsibilities and prioritize tasks.
  • Experience in coordination roles, preferably within technical, manufacturing, or project-based industries.
