Job Description:

 

Reporting To:

Head – HR

Direct Reports:

None

Key Stakeholders:

  • Internal teams and faculty members

  • Research staff

  • Administrative staff

  • External HR & admin vendors


Role & Responsibilities

HR Operations

  • Maintain and organize personnel records (both digital and physical).

  • Update internal HR databases including staff information and leave records.

  • Coordinate printing and issuance of ID cards and business cards.

  • Liaise with HR vendors for insurance and recruitment requirements.

  • Manage end-to-end recruitment: sourcing, screening, and scheduling interviews.

  • Draft contracts for research team members.

  • Conduct employee induction.

  • Conduct exit interviews for research associates.

Administrative & Office Management

  • Ensure office upkeep and routine maintenance.

  • Schedule and coordinate meetings for senior leadership.

  • Draft minutes of meetings.

  • Oversee hospitality arrangements for guests and events.

  • Support additional tasks assigned by the Head – HR.


Candidate Attributes

  • MBA (preferably in HR) from a recognized institution.

  • 3–5 years of experience in HR and administrative roles.

  • Proficient in MS Office applications.

  • Strong communication skills in English, Hindi, and Gujarati.

  • Positive, proactive attitude with strong work ethics.

  • High integrity, confidentiality, and ability to work collaboratively.

  • Excellent time management, coordination, and adaptability.

  • Comfortable interacting with stakeholders at all levels.


Other Details

Spending Authority:

  • Authorized to make necessary expenditures in case of medical emergencies within the office.

Expected Outcomes:

  • Robust HR processes and accurate record management.

  • Well-maintained office environment.

  • Smooth and timely coordination of internal meetings.

Success Measures:

  • Efficient administrative functioning.

  • Organized and digitized HR documentation.
