Position Title: Tender Executive
Department: Sales Support / Tendering
Location: Chhani ( Vadodara)
Reports To: GM Sales

Position Overview
The Tender Executive will be responsible for overseeing and executing end-to-end tendering
activities for the organization. This includes tender identification, bid preparation, documentation
management, and timely submission of both online and offline tenders. The incumbent will ensure
compliance with all tender requirements, support the sales team with accurate and timely
submissions, and contribute to enhancing the company's success in competitive bidding
environments.
Key Responsibilities
Tender Identification & Evaluation
• Conduct daily searches for relevant tenders across various government and private
platforms, including GeM, e-Procure, n-Procure, and other applicable portals.
• Evaluate tender eligibility, scope, and terms to determine suitability for participation.
• Maintain an updated repository of active, upcoming, and completed tenders.
Bid Preparation & Submission
• Prepare comprehensive and compliant tender submissions, including technical and
financial proposals, in accordance with client specifications and company standards.
• Coordinate with internal departments to collect, verify, and compile required documents.
• Ensure error-free submission of tenders, RFQs, and related documents within stipulated
timelines.
• Manage offline and online tender submissions, including participation in e-tendering and
online bidding processes.
Sales Support & Internal Coordination
• Provide timely sales support by preparing offers, quotations, and proposals within the
designated 24-hour turnaround time.
• Liaise with the sales team and management for pricing approvals, document finalization,
and strategic inputs.
Follow-up & Tracking
• Monitor tender progress, clarifications, amendments, and post-submission
communications.
• Maintain accurate tracking of EMD payments, submissions, deadlines, and tender
outcomes.
• Execute and monitor GeM bidding processes to ensure effective participation and order
closures.
Documentation & Compliance
• Ensure proper filing and documentation of all tender-related materials for audit and
compliance purposes.
• Review, verify, and organize all technical, financial, and statutory documents required for
submissions.
• Maintain high standards of compliance with tender conditions and internal policies.

Qualifications & Skills
• Bachelor’s degree in Business Administration, Commerce, Engineering, or a related field.
• Prior experience in tendering/e-tendering processes preferred.
• Strong understanding of government and private procurement procedures.
• Excellent communication, coordination, and analytical skills.
• Proficiency in MS Office and online tendering platforms.
• High attention to detail, organizational skills, and ability to work within strict deadlines.
