Key Responsibilities and Duties
The specific duties of a Manway Clerk can vary by employer, but commonly include:
- Documentation and Records Management: Maintaining precise and up-to-date records regarding mining operations, including daily production reports, shift logs, and safety documentation. This involves significant data entry and filing.
- Safety and Compliance: A critical function involves maintaining training records and site access certifications for all underground personnel. The clerk prepares safety reports and, in the event of an incident, organizes records and ensures documentation accuracy.
- Emergency Response Liaison: The Manway Clerk often serves as the initial point of contact in an emergency, receiving reports of dangerous occurrences, informing the Manager, and recording critical information for the disaster management plan.
- Communication & Coordination: Facilitating communication between different departments, site personnel, and management. This includes answering phones, sending emails, distributing operational notices, and compiling meeting minutes.
- Logistics and Inventory: Assisting with tracking inventory, processing purchase orders and requisitions for mining materials and supplies, and coordinating deliveries to the mine site.
- Human Resources and Payroll Support: Reviewing and tracking timesheets, assisting employees with HR and payroll inquiries, and ensuring timely communication with the corporate HR department.
- General Office Duties: Performing general administrative tasks such as filing, copying, and maintaining office supplies.
Essential Qualifications and Skills
- Education: A High School Diploma or equivalent is generally required, with a certificate or diploma in a related administrative or HR field being an asset.
- Experience: 2-3 years of clerical, administrative, or project support experience, preferably within the mining, construction, or heavy industry sectors.
- Technical Skills: Proficiency in the Microsoft Office Suite (Excel, Word, Outlook), strong typing skills, and experience with project management or ERP (Enterprise Resource Planning) systems such as SAP or Oracle Fusion HCM.
- Soft Skills: Strong attention to detail, excellent organizational and time-management skills, strong written and oral communication skills, and the ability to work in a fast-paced environment with minimal supervision.
- Other Requirements: A valid driver's license, the ability to pass background checks and drug screening, and the physical fitness required to work in a mine environment may be necessary.
