Job Description:

Job Title: Time Office Assistant
Location: Sanand.
Reporting To: Plant HR Manager / Time Office In-charge

Job Purpose
The Time Office Assistant is responsible for accurate attendance tracking, overtime
calculation, leave management, and time office data management to support smooth
payroll processing and workforce administration at the plant.

Key Responsibilities
Attendance & Time Management
 Maintain daily attendance records for permanent and contract employees
 Ensure accurate punching data from biometric / attendance systems
 Track shift-wise attendance and manpower deployment
 Identify and report absenteeism, late coming, and irregularities
Overtime (OT) Management
 Calculate overtime hours as per company policy and statutory norms
 Maintain OT registers and supporting documents
 Coordinate with department supervisors for OT approvals
 Ensure accuracy of OT data before payroll processing
Leave Management
 Maintain leave records (CL, SL, PL, LOP, Comp-off, etc.)
 Process leave applications and update leave balances
 Coordinate with HR and department heads for approvals
 Ensure compliance with leave policies and labor laws
Payroll Support
 Prepare and share attendance, OT, and leave data for payroll processing
 Support HR / payroll team in resolving attendance or wage-related queries
 Assist during payroll audits and inspections
Data Management & Reporting
 Maintain time office records, registers, and files
 Prepare daily, weekly, and monthly attendance & OT reports

 Maintain accurate data in Excel spreadsheets
 Support statutory documentation related to time office

Education & Experience
 Qualification:
o Any Graduate
 Experience:
o 2–5 years of experience in Time Office / Attendance Management in a
manufacturing or plant environment
o Experience handling blue-collar and contract workforce preferred

Key Skills & Competencies
 Strong knowledge of attendance, overtime, and leave management processes
 Good working knowledge of MS Excel (data entry, formulas, reports)
 Familiarity with biometric attendance systems
 Attention to detail and accuracy
 Ability to coordinate with shop-floor supervisors and HR team
