Job Description – Senior Purchase Executive

Industry: Imitation Jewellery / Fashion Jewellery (Brass) / Fashion Bags

1. Role Overview

• Manage end-to-end procurement of raw materials and semi-finished goods for imitation and fashion jewellery production.
• Ensure timely sourcing, cost control, quality compliance, and vendor coordination.
• Support smooth production and retail supply chain operations.

3. Raw Material & Semi-Finished Goods Procurement

• Handle procurement of materials related to:
• Brass jewellery components
• Stones, beads, chains, findings, clasps
• Semi-finished jewellery parts
• Fashion bag materials and accessories
• Ensure materials meet design, quality, and cost specifications.

1. Vendor Management

• Identify, evaluate, and develop vendors specific to imitation and fashion jewellery.
• Maintain vendor master data and price lists.
• Negotiate prices, credit terms, delivery schedules, and MOQs.

1. Purchase Planning & Coordination

• Plan purchases based on production plans, design requirements, and inventory levels.
• Coordinate with design, production, and inventory teams for material requirements.
• Ensure timely availability of materials to avoid production delays.

1. Purchase Order & Documentation

• Prepare and issue purchase orders (POs) as per company SOPs.
• Ensure proper documentation including invoices, delivery challans, and GRNs.
• Coordinate with accounts team for invoice verification and payment processing.

1. Quality & Cost Control

• Ensure quality checks of received materials in coordination with production/QC teams.
• Monitor material cost trends and suggest cost-saving opportunities.
• Handle material rejections, replacements, and vendor claims.

1. Inventory & Stock Coordination

• Monitor raw material and semi-finished goods inventory levels.
• Avoid over-stocking and stock-outs through effective purchase planning.
• Support stock verification and reconciliation processes.

1. Compliance & Process Adherence

• Ensure procurement activities follow internal SOPs and approval matrices.
• Maintain proper purchase records for audit and compliance purposes.
• Support GST-related documentation for purchases.

3. Qualifications & Experience

Educational Qualification

• Graduate (B.Com / BBA / equivalent preferred).

Experience

• Minimum 6+ years of experience in purchase/procurement.
• Mandatory experience in imitation jewellery, fashion jewellery (brass), or fashion accessories/bags industry.
• Strong exposure to raw material and semi-finished goods sourcing.

4. Skills & Competencies

• Strong knowledge of imitation and fashion jewellery materials.
• Excellent vendor negotiation and coordination skills.
• Understanding of production-linked purchasing.
• Working knowledge of inventory control and purchase documentation.
• Hands-on experience with ERP / purchase systems preferred.
• Ability to work under deadlines and manage multiple vendors.

5. Reporting Structure

• Reports to: Purchase Manager / Head – Supply Chain
• Coordinates with: Design, Production, Inventory, and Accounts Teams
