Job Description:

We are seeking a detail-oriented and highly responsible Key Account Manager to manage end-to-end
account operaƟons, including order processing, inventory coordinaƟon, shipment tracking, billing,
dispute resoluƟon, and payment follow-ups. The candidate will act as a central point of coordinaƟon
between customers, warehouse, and internal teams to ensure smooth and accurate execuƟon of all
account-related acƟviƟes.

Key ResponsibiliƟes
1. Order Management
 Acknowledge Purchase Orders (POs) received from customers via email.
 Accurately enter PO details into the main entry system/file.
 Prepare shipment-related documents for the warehouse team.
 Coordinate with the warehouse team to ensure Ɵmely preparaƟon of shipments.
 Collect tracking details aŌer dispatch and share them with customers.
 Monitor and track shipments unƟl successful delivery.
2. Billing & DocumentaƟon
 Prepare and send invoices to customers aŌer dispatch.
 Maintain proper documentaƟon for all orders and transacƟons.
 Regularly update and manage Excel sheets (online and offline).
 Ensure all data entries are accurate and up to date.
3. Inventory Management
 Monitor warehouse inventory levels regularly.
 Conduct weekly inventory reconciliaƟon with warehouse reports.
 Maintain accurate stock records and ensure proper count management.
 Track retailer-wise product allocaƟon and movement.
4. ReporƟng & Analysis
 Prepare and review monthly sales and inventory reports.
 Analyze reports to track product distribuƟon across retailers.
 Maintain structured MIS reports for management review.

5. Dispute & Chargeback Handling
 IdenƟfy and resolve retailer disputes with proper documentaƟon.
 Manage chargebacks and coordinate for Ɵmely resoluƟon.
 Ensure all discrepancies are properly documented and closed.
6. Payment & Account Management
 Track payments received from retailers.
 Maintain updated records of outstanding and pending payments.
 Follow up on receivables and provide regular updates on account status.

Required Skills & Competencies
 Strong email communicaƟon skills.
 Proficiency in MS Excel (Online & Offline) and MS Word.
 Strong numerical and analyƟcal ability.
 Highly calculaƟve with the ability to plan carton-wise packing as per order quanƟty.
 Ability to opƟmize shipment planning (deciding how many units per carton and total cartons
required).
 Comfortable working with numbers, calculaƟons, and data analysis.
 Strong aƩenƟon to detail in quanƟty verificaƟon and inventory reconciliaƟon.
 Excellent organizaƟonal and coordinaƟon skills.
 Ability to handle complete account management independently.
 Problem-solving mindset with strong follow-up skills.

Preferred Candidate Profile
 Prior experience in Key Account Management, OperaƟons, Supply Chain, or similar role.
 Experience in handling end-to-end order processing and account coordinaƟon.
 Responsible, proacƟve, and deadline-oriented.
 Ability to manage mulƟple tasks efficiently and accurately.
