Job Description:

Role Overview

The Sales Admin – Junior supports the sales team by managing documentation, CRM updates, proposal coordination, reporting, and internal follow-ups. This role ensures accurate tracking of inquiries and smooth execution of day-to-day sales operations through structured coordination with internal teams.


Key Responsibilities

1. Sales Operations & Documentation

  • Maintain and update sales inquiries, lead trackers, and CRM records
  • Prepare and organize quotations, proposals, booking forms, and sales documentation
  • Track inquiry lifecycle stages:
    • New
    • In Progress
    • Converted
    • Lost
  • Maintain accurate Google Sheets / Excel sales trackers
  • Support preparation of:
    • Sales decks
    • MIS reports
    • Email drafts
    • Client responses

2. Coordination & Sales Support

  • Coordinate with internal departments for:
    • Availability
    • Pricing
    • Timelines
    • Approvals
  • Support Sales Managers with:
    • Follow-ups
    • Status tracking
    • Meeting readiness
  • Maintain organized records of:
    • Call logs
    • Client communications
    • Confirmations
    • Approvals
  • Ensure weekly sales review data readiness and tracker accuracy

3. Process & Compliance Support

  • Generate basic SAR-assisted line items where required
  • Maintain documentation for:
    • Contracts
    • NDAs
    • Invoices
    • Vouchers
    • Booking confirmations
  • Ensure adherence to:
    • Internal SOPs
    • Audit requirements
    • Process compliance standards
  • Provide administrative support aligned with sales workflow requirements

Required Skills & Qualifications

Education

  • Graduate (any discipline)

Technical Skills

  • Google Sheets / MS Excel (VLOOKUP, Pivot Tables, basic formulas)
  • MS Word and PowerPoint
  • CRM / Lead tracking systems
  • MIS reporting support
