For an Admin Executive position at a Head Office / Corporate office in Hyderabad,
Job Description: Admin Executive (Male)
- Role: Admin Executive (Head Office)
- Experience: 6–10 Years
- Location: Somajiguda, Hyderabad, Telangana
- Salary Range: ₹4.0 – ₹6.0 LPA (Depending on experience and interview performance)
Key Responsibilities
1. General Administration & Office Management
- Oversee daily office operations to ensure a productive and safe work environment at the Head Office.
- Manage office layouts, seating arrangements, and ensure all office equipment (ACs, printers, etc.) is functional and maintained.
- Control the inventory of stationery, pantry supplies, and other consumables, ensuring timely procurement.
2. Housekeeping & Security Supervision
- Supervise housekeeping staff to maintain high standards of cleanliness and hygiene across all office floors.
- Manage the security team, including monitoring CCTV, controlling visitor entry/exit, and ensuring general campus safety.
- Handle emergency protocols and coordinate with building management or local authorities when necessary.
3. Vehicle, Transport & Travel Management
- Manage the company fleet, including vehicle maintenance, fuel tracking, and driver scheduling.
- Coordinate employee transport services (cabs/shuttles) and ensure timely pick-ups and drops.
- Handle end-to-end travel arrangements for executives, including flight/train bookings, hotel stays, and local conveyance.
4. Guest & Vendor Coordination
- Manage guest house operations and ensure a premium experience for visiting clients or VIPs.
- Identify, onboard, and manage relationships with external vendors for various services.
- Negotiate contracts and verify vendor invoices before processing them for payment.
5. Documentation & Reporting
- Maintain accurate records, including employee attendance, asset registers, and AMC (Annual Maintenance Contract) files.
- Prepare monthly MIS reports on administrative expenses, vehicle usage, and utility costs.
- Ensure compliance with local labor laws and statutory requirements related to office operations.
Required Skills & Qualifications
- Education: Graduate/Post-graduate in any stream (MBA in Operations or HR preferred).
- Technical: Proficiency in MS Office (specifically Advanced Excel and PowerPoint).
- Soft Skills: Strong negotiation, team leadership, and multi-tasking abilities.
- Industry Experience: Prior experience in managing a large corporate head office is highly desirable.
