Role Summary

The Admin Coordinator will be responsible for the smooth day-to-day administrative and household operations at AC-13. The role involves managing Annual Maintenance Contracts (AMCs), supervising household staff, and ensuring that all house members' requirements are attended to promptly and professionally.

 

Key Responsibilities

  1. AMC & Vendor Management
  • Track and manage all AMCs for house equipment and services (AC, lifts, electrical, etc.)
  • Liaise with vendors and service providers for timely renewals and scheduled maintenance
  • Maintain proper records of contracts, warranties, and service history
  1. Staff Management & Supervision
  • Oversee all household staff including drivers, housekeeping, security, and other support staff
  • Clearly communicate and monitor adherence to individual Job Descriptions (JDs)
  • Track attendance, leaves, and daily schedules of staff
  • Address performance issues and escalate when required
  1. Coordination & Communication
  • Act as a single point of contact for all administrative requirements of house members
  • Take and execute instructions from all house members efficiently
  • Coordinate with external service providers, delivery persons, and official visitors
  1. General Administration
  • Maintain inventory of household supplies and ensure timely replenishment
  • Handle day-to-day operational issues and resolve them proactively
  • Ensure cleanliness, upkeep, and orderly functioning of the premises

  • Strong manpower management and coordination skills
  • Good HR skills — ability to manage people, resolve conflicts, and ensure discipline
  • Excellent communication and interpersonal skills
  • Proactive, responsible, and detail-oriented approach
  • Basic computer proficiency for record-keeping and correspondence
  • Trustworthy, discreet, and professional in conduct

 

Work Environment & Infrastructure

  • Sitting location: AC-13 premises
  • Dedicated workstation (table and chair) provided
  • Direct interaction and instruction-taking from all house members
