As the Executive Assistant to the Managing Director, you will work closely with senior leadership, ensuring smooth day-to-day operations, effective coordination across departments, and seamless execution of strategic initiatives. The JD emphasizes acting as the MD's liaison, managing schedules, coordinating cross-functional activities, handling confidential documents, reviewing MIS, and supporting strategic initiatives.
About the Role
The Executive Assistant will serve as a trusted partner to the Managing Director, acting as a bridge between leadership and business functions. The position requires exceptional organizational skills, confidentiality, strong communication, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive & Calendar Management
- Manage the Managing Director's calendar, meetings, appointments, and travel plans.
- Prioritize schedules and ensure effective time management.
- Coordinate internal and external meetings.
- Prepare meeting agendas and maintain action trackers.
Business Coordination
- Act as the primary point of contact between the MD and internal/external stakeholders.
- Coordinate with Sales, HR, Finance, Operations, and other departments.
- Monitor project progress and follow up on action items.
- Ensure timely execution of business priorities.
MIS & Business Reporting
- Prepare executive reports, presentations, and dashboards.
- Review MIS reports and business performance metrics.
- Support strategic planning through data analysis.
- Maintain business documentation and reports.
Documentation & Administration
- Maintain confidential business documents and records.
- Draft professional correspondence, presentations, and reports.
- Organize digital files using Google Drive and Microsoft Office.
- Ensure document accuracy and compliance.
Project & Task Management
- Track strategic initiatives and project timelines.
- Follow up with departments on deliverables.
- Identify operational bottlenecks and escalate issues where required.
- Support business process improvements.
Executive Support
- Handle confidential assignments with professionalism.
- Coordinate business travel, meetings, and events.
- Assist with administrative and operational tasks.
- Provide day-to-day executive support to the Managing Director.
Profile Criteria
- 3–5 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or Administration Executive.
- Experience supporting senior leadership, Directors, CXOs, or Managing Directors.
- Strong knowledge of MS Excel, Word, PowerPoint, Google Sheets, Google Docs, and Google Drive.
- Excellent business communication and organizational skills.
- Ability to maintain confidentiality and manage multiple priorities.
- Bachelor's degree in Commerce, Business Administration, Management, Finance, HR, or a related field (MBA preferred).
