Sales Coordinator
Job Description:
Job Purpose
To provide administrative and operational support to the sales team, ensure mely processing of orders, maintain sales records, coordinate with distributors and field staff, and facilitate smooth sales operations.
Key Responsibilies
1. Sales Order Management
- Process and monitor customer and distributor orders.
- Coordinate with the dispatch and logis cs teams for mely deliveries.
- Track pending orders and resolve order-related issues.
2. Sales Data Management
- Maintain accurate sales records and databases.
- Prepare daily, weekly, and monthly sales reports.
- Update sales dashboards and MIS reports.
3. Distributor Coordination
- Coordinate with distributors regarding orders, stock availability, and claims.
- Monitor distributor inventory and secondary sales data.
- Assist in resolving distributor queries and complaints.
4. Field Force Support
- Collect and compile tour programs and tour reports.
- Coordinate with Area Managers, Sales Officers, and Area Controllers.
- Maintain records of market activities, promotions, and sampling programs.
5. Scheme & Claim Management
- Process trade schemes, discounts, and promo onal claims.
- Verify suppor ng documents before claim settlement.
- Maintain records of approved claims and incentives.
6. Documentation & Administration
- Maintain customer, distributor, and retailer databases.
- Prepare official sales correspondence and circulars.
- Organize sales mee ng data and presentations.
7. Inventory Coordination
- Coordinate with warehouses regarding stock availability.
- Monitor stock movements and stock ageing reports.
- Inform the sales team about stock shortages or excess inventory.
Key Skills Required
- Good knowledge of MS Excel, Word, and PowerPoint.
- Strong data analysis and reporting skills.
- Good communication and coordination abilities.
- Knowledge of FMCG sales processes and distribution systems.
- Ability to work under deadlines and manage multiple tasks.
Key Performance Indicators (KPIs)
- Order processing accuracy.
- Timely submission of sales reports.
- Distributor query resolution time.
- Claim processing turnaround me.
- Accuracy of sales MIS and data management.
- Support provided to field sales operations.
Educational Qualification
- Graduate in Commerce, Business Administration, or related field.
- 2–3 years of experience in FMCG sales coordination/back-office operations preferred. This role acts as the link between the field sales team, distributors, warehouse, finance, and management, ensuring smooth execution of sales operations and achievement of business objectives.
