Job Description:

Role:- Personal Assistant to Director

Department Director's Office / Administration

Reports To Director Location Head Office

Employment Type Full-Time

Job Purpose To provide comprehensive administrative, coordination, and secretarial support to the Director, ensuring smooth day-to-day functioning of the Director's office, effective time management, and seamless communication between the Director and internal/external stakeholders.

Key Responsibilities

  • Manage the Director's calendar, schedule meetings, and coordinate appointments, ensuring no conflicts or overlaps.
  • Handle correspondence including emails, letters, and calls on behalf of the Director, and draft responses as required.
  • Organize and coordinate domestic and international travel, including itineraries, visas, hotel bookings, and logistics. Prepare agendas, take minutes, and follow up on action items for meetings attended by the Director.
  • Maintain confidential files, records, and documentation with a high degree of discretion. Prepare reports, presentations, and briefing notes as required by the Director.
  • Track pending approvals, deadlines, and deliverables, ensuring timely follow-up.
  • Coordinate with the admin/facilities team for office arrangements, events, and hospitality for visitors.
  • Manage expense reports, reimbursements, and petty cash related to the Director's office.
  • Handle personal errands and tasks for the Director as and when required.
  • Maintain absolute confidentiality regarding company and personal matters.

Key Skills & Competencies

  • Excellent verbal and written communication skills (English/Hindi).
  • Strong organizational and time-management abilities.
  • High level of discretion, integrity, and professionalism.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and work under pressure with minimal supervision.
  • Strong interpersonal skills and a proactive, solution-oriented approach.
  • Qualification & Experience Graduate/Postgraduate in any discipline; a degree in Business Administration is preferred.
  • 3–6 years of experience as a Personal Assistant / Executive Assistant to senior management, preferably in a manufacturing or corporate group setup.

Other Requirements

  • Willingness to travel with the Director as required.
  • Flexibility to extend working hours based on business needs.
  • Female Candidate Required Salary Upto – 40k CTC
