HR Executive / HR Generalist

Location: Kolkata

Job Overview

We are looking for a proactive and hands-on HR Executive / HR Generalist to independently manage day-to-day HR operations and recruitment activities.

The role will involve end-to-end recruitment, employee onboarding, HR documentation, attendance and leave management, payroll coordination, performance tracking, employee relations and HR MIS. The ideal candidate should be comfortable working in a growing organization and building structured HR processes.

Key Responsibilities

Recruitment & Talent Acquisition

  • Manage end-to-end recruitment for sales, service, spare parts, tender, telecalling/CRM, accounts, administration and support positions.
  • Publish job vacancies on job portals, LinkedIn and other relevant recruitment channels.
  • Source, screen and shortlist candidates based on job requirements.
  • Conduct initial candidate interviews and coordinate subsequent rounds with departmental heads and management.
  • Maintain recruitment trackers covering candidate source, interview status, offer status and expected joining date.
  • Follow up with selected candidates until joining and maintain a future candidate database.

HR Operations & Employee Management

  • Manage employee joining formalities, documentation, offer letters, appointment letters and induction.
  • Maintain accurate employee master data, personal files and reporting structures.
  • Monitor employee attendance and leave records.
  • Prepare monthly attendance inputs and coordinate with Accounts for payroll processing.
  • Coordinate salary, incentive, reimbursement and deduction-related inputs.
  • Coordinate PF, ESI and other statutory HR documentation with the concerned consultant/team.
  • Track probation periods, confirmation dates, appraisal schedules and employee performance records.
  • Coordinate performance reviews with departmental heads and follow up on agreed actions.

Employee Relations

  • Handle routine employee queries and HR-related concerns professionally and confidentially.
  • Assist in grievance handling, disciplinary matters and workplace communication.
  • Support employee engagement and internal HR initiatives.
  • Maintain professional communication with both field and office employees.

HR Policies & Process Development

  • Assist management in developing and implementing HR policies, SOPs, forms and processes.
  • Create and maintain HR checklists, trackers and basic HR dashboards.
  • Identify gaps in existing HR processes and suggest practical improvements.

Exit Management & HR MIS

  • Manage employee resignation and exit formalities.
  • Coordinate full-and-final settlement and relieving documentation with the concerned teams.
  • Conduct exit interviews and maintain exit records.
  • Prepare regular HR MIS covering:
    • Headcount
    • Open vacancies
    • Recruitment status
    • Recruitment closures
    • Attendance
    • Attrition
    • Probation and confirmation
    • Performance review status

Candidate Profile

  • Graduate; MBA / PGDM in HR will be preferred.
  • 2–5 years of experience in HR Generalist / HR Operations / Recruitment.
  • Good understanding of end-to-end recruitment and general HR processes.
  • Good communication and interpersonal skills.
  • Working knowledge of MS Excel, MS Office and HR documentation.
  • Basic knowledge of payroll inputs, PF and ESI.
  • Strong coordination and follow-up skills.
  • Ability to maintain confidentiality while handling employee information.
  • Organized, proactive and comfortable working independently.
  • Ability to coordinate effectively with field employees, office staff, departmental heads and management.
