Job Overview

Orbit Global HR Consultants is looking for an experienced and highly dependable Personal Assistant to the Company Chairman for a leading organization based in Darya Ganj, Delhi.

The ideal candidate should have 10–15 years of relevant professional experience, with mandatory experience in the hospital or healthcare sector. The candidate will provide comprehensive professional and administrative support to the Chairman and will be responsible for managing schedules, meetings, travel, hospital and doctor coordination, research assignments, follow-ups and confidential matters.

This is a high-trust Personal Assistant / Executive Assistant position requiring maturity, discretion, excellent communication skills and the ability to work independently. The candidate should be comfortable with Pan-India travel, flexible working hours and urgent assignments whenever required by the Chairman.

Key Responsibilities

1. Personal Assistant to Chairman

  • Provide comprehensive day-to-day professional assistance to the Company Chairman.
  • Manage the Chairman's calendar, appointments, meetings and daily schedule.
  • Coordinate meetings with senior management, doctors, hospitals, business associates and other stakeholders.
  • Maintain reminders and ensure timely follow-up on important commitments.
  • Handle confidential information, documents and sensitive matters with complete discretion.
  • Anticipate the Chairman's requirements and proactively coordinate necessary arrangements.

2. Travel Management

  • Plan and coordinate domestic travel across India.
  • Arrange flights, trains, hotels, transportation and other travel requirements.
  • Prepare detailed travel itineraries and coordinate local arrangements.
  • Accompany the Chairman during official or business travel whenever required.
  • Manage short-notice and extended travel assignments.
  • Ensure all travel-related requirements are properly coordinated before, during and after the journey.

3. Hospital & Healthcare Coordination

  • Coordinate with hospitals, doctors, consultants and healthcare professionals.
  • Schedule doctor appointments, hospital visits and meetings.
  • Conduct research on hospitals, doctors, medical departments, treatments, facilities and healthcare services.
  • Collect, verify and organize relevant healthcare information for the Chairman.
  • Follow up with hospitals and doctors and provide timely updates.
  • Coordinate with hospital departments and other healthcare stakeholders as required.

4. Healthcare & Market Research

  • Conduct research on healthcare products, medical services and other assigned requirements.
  • Research and compare hospitals, doctors, suppliers, products and services.
  • Collect information from reliable online and offline sources.
  • Prepare concise research reports, summaries and comparison sheets.
  • Present research findings clearly for the Chairman's review and decision-making.

5. Coordination & Follow-Up

  • Coordinate with senior management, employees, vendors, doctors, hospitals and external agencies.
  • Track assignments given by the Chairman and ensure timely completion.
  • Maintain records of important contacts, meetings, documents and follow-ups.
  • Monitor pending matters and provide regular updates.
  • Handle administrative and coordination responsibilities as directed by the Chairman.

6. Documentation & Administrative Support

  • Assist with preparation of reports, presentations, meeting notes and other documents.
  • Screen and coordinate important calls and communications when required.
  • Maintain confidential documents and records.
  • Use MS Word, Excel, PowerPoint, email and internet research tools effectively.
  • Handle urgent assignments with maturity and a solution-oriented approach.

Required Skills and Competencies

The ideal candidate should possess:

  • 10–15 years of relevant professional experience.
  • Mandatory experience in the hospital / healthcare sector.
  • Previous experience as a Personal Assistant, Executive Assistant, Executive Secretary, Personal Secretary or Secretary to Chairman/MD/Director.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and coordination skills.
  • Ability to communicate professionally with doctors, senior management and business stakeholders.
