Executive - Inventory and Process Control
Job Description:
Role purpose - Ensure factory inventory and stock movements are properly recorded, approved and physically verifiable. Identify losses and process gaps early, enforce stock-rotation discipline, and submit reliable daily control reports.
Key responsibilities
Goods receipt: Check incoming quantities, weights, item codes and supporting purchase orders against invoices and goods receipt notes. Record shortages, excess receipts, damage and missing documents promptly.
Inventory and rotation: Verify batch identification, storage records and FIFO (first in, first out). Use FEFO (first expiry, first out) where shelf-life dates require it; flag near-expiry, expired and damaged stock for authorised action.
Production movements: Check recorded raw-material and packaging issues, returns, finished output, wastage and scrap against source records. Escalate unusual consumption or yield differences for explanation with production; do not assume every variance is leakage.
Dispatch and transfers: Match approved orders, invoices or transfer documents to quantities physically leaving the factory. Check gate passes, inter-location acknowledgements, returns and cut-off timing; report unsupported movements.
Physical verification: Perform daily checks of selected high-risk items and planned cycle counts. Reconcile book and physical stock, document variances and follow up approved corrections without altering records to conceal differences.
Cash and expenses: Where the factory handles cash, verify cash counts, receipts, deposits, advances and expense vouchers against records. Identify overdue settlements and unsupported payments.
Daily reporting: Submit stock and movement exceptions, FIFO/FEFO breaches, cash differences where applicable, and unresolved issues with evidence, owner and due date. Escalate suspected diversion or tampering immediately.
Process implementation: Maintain checklists, preserve supporting documents and help staff adopt approved procedures. Support centralisation of invoicing and record processing at Ballygunge while retaining physical checks at the factory.
Candidate profile - B.Com or equivalent, with approximately 2–5 years in factory accounts, inventory control, stores audit or commercial operations. Food, FMCG or manufacturing experience preferred. Able to use Excel and Tally or a comparable ERP, reconcile quantities and values, communicate with site staff in Bengali/Hindi, and report clearly. Reliable attendance at 7:00 AM is essential.
Success measures and working authority - Daily reports delivered by the agreed cut-off; planned checks completed; stock variances investigated; near-expiry items flagged in time; fewer repeated process breaches; corrective actions closed with evidence. In the first 30 days, establish baseline discrepancies and daily checklists; by day 90, demonstrate sustained use and closure of priority issues. Access relevant site records and escalate exceptions under the approved hold-and-release procedure. Maintain separation from stock custody, invoice creation and payment approval. Remaining shift hours, weekly off and handover arrangements will be agreed at hiring.
