Job Description:

The Administrative Officer plays a vital role in providing administrative support and assisting with various human resources functions within a manufacturing company. This position requires a strong understanding of  processes, excellent organizational skills, and the ability to maintain confidentiality. The  Administrative Officer will work closely with the HR team and manufacturing personnel to ensure efficient  operations and compliance with policies and procedures.

Key Responsibilities:

  1.  Documentation and record-keeping: Assist in maintaining accurate and up-to-date employee records, including personnel files, benefits information, and performance evaluations. Ensure compliance with record-keeping requirements and handle sensitive and confidential information with discretion.
  2. Employee benefits administration: Assist in administering employee benefits programs, such as health insurance, retirement plans, and other company-provided benefits. Answer employee inquiries regarding benefits, facilitate enrollment processes, and maintain accurate benefits records.
  3. Time and attendance management: Support the time and attendance tracking process, including maintaining attendance records, tracking vacation and sick leave, and processing time-off requests. Collaborate with supervisors and employees to ensure accurate timekeeping and adherence to company policies
  4. Policy and procedure support: Assist in the implementation and communication of policies and procedures within the manufacturing company. Update employee handbooks, distribute policy updates, and ensure employees' understanding and compliance with HR guidelines.
  5. Employee relations: Provide administrative support in employee relations matters, including documenting employee complaints, investigations, and disciplinary actions. Assist in organizing employee recognition programs and employee engagement initiatives.
  6. Training and development coordination: Support the coordination of training programs, workshops, and seminars for employees. Assist in maintaining training records, tracking employee development plans, and scheduling training sessions.
  7. Reporting: Assist in generating HR reports, metrics, and analytics, such as turnover rates, headcount reports, and HR-related data. Contribute to data analysis and provide recommendations for improving HR processes and practices.
  8. Compliance and legal requirements: Stay up to date with relevant employment laws, regulations, and industry trends. Assist in ensuring compliance with labor laws, safety regulations, and other legal requirements within the manufacturing environment.

Qualifications and Skills:

  • Bachelor's degree in Human Resources, Business Administration, or a related field is preferred. Relevant certifications or coursework in HR administration is a plus.
  • Proven experience in an administrative role, preferably within an HR department or manufacturing environment.
  • Strong understanding of HR processes, policies, and procedures.
  • Excellent organizational skills with attention to detail and ability to manage multiple priorities.
  • Proficient in using HRIS software, Microsoft Office Suite (Word, Excel, PowerPoint), and other relevant applications.
  • Excellent verbal and written communication skills with the ability to effectively interact with employees at all levels.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of employment laws, regulations, and compliance requirements in the manufacturing industry.
  • Strong problem-solving skills and ability to work both independently and collaboratively within a team.
