Job Description:

Key Responsibilities and KPI’s:

Administrative Support

  • Manage the CEO's daily schedule, including scheduling appointments, meetings, and travel arrangements.
  • Screen and manage phone calls, emails, and other correspondence.
  • Prepare and edit documents, reports, and presentations as needed.
  • Maintain accurate records and files, ensuring information is organized and easily accessible.

Communication and Liaison:

  • Facilitate effective communication between the CEO and the executive team, staff, and clients.
  • Draft and distribute official communications and announcements on behalf of the CEO.

Project Coordination: 

  • Assist in the coordination of special projects and initiatives, often involving cross-functional teams.
  • Conduct research and gather information to support decision-making processes.
  • Track project milestones, deadlines, and deliverables.

Confidentiality and Discretion: 

  • Handle sensitive and confidential information with the utmost discretion.
  • Ensure that all interactions and communications maintain a high level of professionalism and confidentiality.

Meeting Support

  • Prepare agendas, materials, and documentation for meetings attended by the CEO.
  • Attend meetings as requested, take minutes, and follow up on action items.
  • Ensure timely distribution of meeting minutes and follow-up tasks.

Travel Arrangements:

  • Plan and coordinate the CEO's travel arrangements, including flights, accommodations, and itineraries.

Qualifications:

  • Bachelor's degree in business administration or a related field is preferred. 
  • Proven experience as an executive assistant or in a similar role, ideally supporting high-level executives.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Discretion and the ability to handle confidential information with integrity.
  • Strong problem-solving skills and attention to detail.
  • Flexibility to adapt to changing priorities and work independently.
  • Knowledge of the commercial real estate industry is a plus
