Job Profile |
We are seeking a highly organized and proactive Executive assistant to support the efficient functioning of our organization. She will be responsible for a range of administrative and coordination tasks, ensuring smooth operations and effective communication between various stakeholders. The ideal candidate should possess excellent organizational and communication skills, be detail-oriented, and be capable of multitasking in a fast-paced environment.
1. Meeting Management: · Prepare minutes of meetings and distribute them to relevant stakeholders. · Schedule day-to-day meetings, both internal and external, and ensure smooth coordination.
2. Coordination and Follow-up: · Track and follow up on the status of MOM across the group. · Collect review data related to plant operation, sales, HR and other support functions. · Coordinate between stakeholder’s requirements and updates.
3. Communication and Correspondence: · Draft and prepare emails and letters for internal and external meetings, CST and committee meetings, review and emergency meetings. · Assist in drafting and preparing reports, presentations, and correspondence.
4. Travel and Event Management: · Plan and coordinate travel arrangements, with the travel desk department. · Organize events and conferences as required.
5. Administrative Support: · Act as the first point of contact for inquiries and correspondence, managing phone calls and emails. · Manage diaries, organize meetings, and arrange appointments. · Maintain databases and filing systems. · Implement and maintain administrative procedures and systems. · Liaise with stakeholders, and clients. · Collate and file expenses.
7. Executive Support: · Read, research, and route correspondence. · Maintain the appointment schedule, planning and scheduling meetings, conferences, teleconferences, and travel. · Represent the executive by attending meetings in their absence and speaking on their behalf. · Welcome guests and customers, answering or directing inquiries. · Maintain confidentiality of information and protect operations.
8. Reporting and Project Management: · Assign work to clerical staff and follow up on results. · Prepare reports by collecting and analysing information. · Support in the preparation of monthly reports, quarterly strategy reports, and other business-related reports. · Assist in project management and adhere to project timelines. |
