Job Description:

Position Overview: As a Document Controller, you will be responsible for overseeing the systematic management of project documents, ensuring their accuracy, completeness, and accessibility throughout the project lifecycle. Your meticulous attention to detail and proficiency in document control processes will be essential in maintaining compliance with regulatory requirements and project specifications.

Key Responsibilities:

  1. Document Management: Establish and maintain a comprehensive document control system to manage all project-related documents, including drawings, specifications, contracts, correspondence, and other essential records.
  2. Document Distribution: Coordinate the distribution of documents to project stakeholders, including clients, consultants, subcontractors, and internal teams, ensuring timely access to relevant information and revisions.
  3. Version Control: Implement and enforce document version control procedures to track revisions, updates, and approvals, ensuring that all stakeholders have access to the latest versions of project documents.
  4. Quality Assurance: Conduct regular reviews and audits of project documentation to ensure accuracy, consistency, and compliance with established standards, contractual requirements, and regulatory guidelines.
  5. Coordination and Communication: Facilitate effective communication and collaboration between project teams by organizing document review meetings, disseminating meeting minutes, and resolving document-related queries and issues in a timely manner.
  6. Archiving and Retrieval: Establish protocols for the secure storage, archiving, and retrieval of project documents, both in electronic and hard copy formats, in accordance with retention policies and legal requirements.
  7. Training and Support: Provide training and support to project team members on document control processes, software applications, and best practices to promote adherence to established procedures and standards.
  8. Continuous Improvement: Identify opportunities for process improvements and efficiencies in document control workflows, tools, and technologies, and implement solutions to enhance productivity and accuracy.

Qualifications:

  • Bachelor's degree or equivalent qualification in a relevant field.
  • Minimum of 4 years of experience in document control within the construction industry in the UAE.
  • Proficiency in document control software and systems, such as Aconex, Procore, or Documentum.
  • Strong organizational skills and attention to detail, with the ability to manage large volumes of documents effectively.
  • Excellent communication and interpersonal skills, with the ability to collaborate with diverse stakeholders.
  • Familiarity with construction industry standards, regulations, and procedures related to document management.
