Compliance Specialist (Sydney Shift)

Compliance review of sales and installation cases

• Review every sales and installation case against internal compliance requirements before it proceeds to installation. This covers the customer agreement, electricity bill, system design and site report, product configuration and pricing, government rebates, finance applications and grid connection approval.

• Record every issue found, return the case to the team responsible, and re-check it once the issue is fixed.

• Update the case status in the internal system and release the case to the next stage once it passes.

• Send agreements for countersigning and follow up until they are signed.

Credit and finance checks

• Run credit and finance checks on customers and business applicants: identification, credit report, proof of property ownership (council rates notice or title search), electricity account and strata or body corporate approval.

• Review commercial credit applications from sales agents and keep the agent onboarding records up to date.

• Compile the monthly credit report.

• Register and discharge security interests on the Personal Property Securities Register (PPSR) for residential, commercial and agent cases.

Agreements and variation documents

• Prepare deeds of variation, equipment variation documents, transfer agreements and payment plans.

• Process account owner transfers and other changes to signed agreements.

Overdue accounts

• Manage overdue customer accounts on a set cycle: upfront sales daily, finance and retail energy accounts weekly, defaulted accounts quarterly.

• Draft customer correspondence, set up payment arrangements, and keep a record of all contact and outcomes.

Process support

• Answer compliance questions from the customer service, sales and engineering teams.
• Update the compliance procedures (SOPs) whenever an internal process changes.
• Complete ad hoc compliance tasks for the group, including its retail energy business.

Escalation

• Escalate to the Legal and Compliance Manager: rejected credit applications, complex ownership structures such as trusts and companies, disputed or difficult overdue accounts and any final stage debt recovery action, any change to agreement terms, and anything that falls outside the standard process.

SKILLS & EXPERIENCE 

Qualifications

• Bachelor degree in law, compliance or a related area is preferred.

Experience

• Experience in compliance, credit or contract administration is preferred.

Skills

• Confident with Word, Excel, Google Workspace and customer database systems.
• Accurate with detail and able to follow a set process without shortcuts.
• Organised, able to prioritise and meet daily deadlines.
• Clear written English for customer and internal correspondence.
• Able to handle overdue account discussions with customers in a professional manner.

PERFORMANCE GOALS/KPIs: 

• 90% of compliance reviews completed within 1 business day, the remaining 10% within 2 business days.
• Compliance review quality: 100% correct after two rounds of checks.
• Security interest registrations cleared weekly.
• Monthly credit report completed and provided to the Legal and Compliance Manager each month.
• Overdue accounts actioned to the set cycle: upfront sales daily, finance and retail energy accounts weekly, defaulted accounts quarterly.
