Job Description:
Job Summary: As a Tender Executive you will play a crucial role in managing the end-to-end tendering process. You will be responsible for online tender searching, applying for tenders, executing tender paperwork, negotiating rates, confirming orders, coordinating pre-dispatch inspections, and following up on payments. You will work closely with the Tender Head and other relevant departments to ensure the successful execution of tender projects.
Key Responsibilities:

Online Tender Searching:
- Conduct regular searches on online platforms and portals to identify relevant tender opportunities.
- Analyze tender documents to understand requirements, deadlines, and evaluation criteria.

Tender Application:
- Prepare and submit tender applications in accordance with the specified guidelines and timelines.
- Ensure that all required documentation, including technical specifications and financial details, are accurately provided.

Execution of Tender Paperwork:
- Manage the documentation process for tender submissions, including contracts, bid bonds, and other legal requirements.
- Coordinate with internal stakeholders to gather necessary information and ensure compliance with tender specifications.

Rate Negotiation and Discussion:
- Participate in negotiations with clients or procurement officials to finalize pricing and contractual terms.
- Collaborate with the sales and finance teams to develop competitive pricing strategies.

Order Confirmation:
- Confirm orders received through successful tender bids and ensure alignment with contractual agreements.
- Communicate order details to relevant departments for production planning and fulfillment.

Pre-dispatch Inspection:
- Coordinate pre-dispatch inspections with the respective Tender Head and quality control teams.
- Ensure that products meet the required specifications and quality standards before dispatch.

Payment Follow-up:
- Monitor payment milestones and follow up with clients to ensure timely payment.
- Resolve any payment-related issues or discrepancies in coordination with the finance department.
Qualifications and Skills:
- Bachelor's degree in business administration, commerce, or related field.
- Proven experience in tender management, preferably in a similar industry.
- Strong understanding of tendering processes, documentation, and compliance requirements.
- Excellent communication and negotiation skills.
- Attention to detail and ability to work under pressure to meet deadlines.
- Proficiency in MS Office applications and online tender portals.
- Ability to collaborate effectively with cross-functional teams.
