Job Description:

We have an urgent opening for the position of Human Resources Administrator for a reputed company in Navi Mumbai location.

Human Resources Administrator will manage and oversee all administrative functions within the office, including IT support.

This role requires someone who is detail-oriented, highly efficient, and capable of  handling multiple tasks across various areas of office management, including  coordination, documentation, communication, and technical support.  

Key Responsibilities:  

Office Management:

  • Oversee day-to-day office operations to ensure a smooth and efficient working  environment.  
  • Manage office supplies, ensuring stock levels are maintained and orders are placed  when needed.  
  • Organize office space and ensure it is kept clean, tidy, and functional.
  • Coordinate with vendors and service providers for office maintenance and supplies.

Documentation and Filing:

  • Prepare, organize, and maintain office documents, files, and records.
  • Ensure all internal and external documentation is up-to-date and in compliance with company policies.
  • Manage filing systems (physical and digital) to ensure easy access and retrieval of documents.

IT Support:

  • Provide basic IT support to staff, including troubleshooting hardware and software issues.
  • Manage office technology such as computers, printers, telephones, and other equipment.
  • Coordinate with external IT vendors for maintenance, repairs, and upgrades. Assist in setting up and maintaining employee workstations, ensuring all necessary equipment is functioning.
  • Support the installation and troubleshooting of software and ensure systems are updated.


Internal Coordination:

  • Serve as the point of contact for internal teams regarding administrative queries or tasks.
  • Coordinate and schedule internal meetings, ensuring all logistical aspects (venue, refreshments, equipment, etc.) are taken care of.
  • Support the HR team with onboarding processes and employee-related administrative tasks.


Communication and Support:

  • Answer and direct phone calls, emails, and other correspondence, ensuring timely response and follow-up.
  • Provide general administrative support to senior management and other departments as needed.
  • Act as the liaison between the office and external vendors, clients, and service providers.

 
Event Coordination:

  • Assist in organizing and coordinating company events, meetings, conferences, and team-building activities.
  • Manage event logistics, including booking venues, coordinating transportation, and handling any other necessary arrangements.


Reporting and Documentation:

  • Prepare and maintain reports related to office operations, supply usage, and other administrative matters.
  • Assist in preparing regular status updates and summaries for management. Skills and Qualifications:
  • Proficiency in Microsoft Office Suite.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines efficiently.
  • Excellent communication skills (both written and verbal).
  • Attention to detail and accuracy in documentation and task execution.
  • Basic knowledge of IT systems, troubleshooting, and office technology (computers, printers, etc.).
  • Ability to work independently and collaboratively in a fast-paced environment. Strong time-management skills and ability to prioritize effectively.

Qualifications: 

Education: Bachelors from any relevant field.
