Sourcing Manager
Job Description:
Primary Responsibilities:
1. Sample Management & Documentation
• Development Sample Handling:
o Receive new development samples from FVO, ensuring they are properly logged, tracked, and stored in an organized manner.
o Confirm receipt of all samples with FVO via email, ensuring clear communication and accountability.
o Maintain comprehensive records and archives of all standard samples, ensuring easy retrieval and reference for ongoing and future projects.
• Sample Dispatch & Follow-Up:
o Identify and source suitable mills (both local and domestic) based on project requirements and manage the dispatch of samples to these suppliers.
o Regularly follow up with suppliers to ensure timely receipt of samples and provide feedback to mills, ensuring alignment with project specifications.
2. Mill Sourcing & Vetting
• Mill Sourcing:
o Source and identify mills that meet the company’s quality standards and production capabilities, ensuring a diverse and reliable supplier base.
o Engage in continuous communication with mills to maintain strong relationships and ensure they are well-informed of project requirements and timelines.
• Mill Vetting:
o Conduct thorough vetting of mills to assess their production capabilities, quality control standards, and overall competence in handling the company’s production tasks.
o Prepare detailed reports compiling data from mill assessments, providing actionable insights for decision-making and strategic planning.
3. Fabric Development & Production Coordination
• Fabric Development:
o Oversee the development of fabrics, ensuring that all specifications are clearly communicated to the mills and that samples are developed according to the correct requirements.
o Conduct regular follow-ups with mills to monitor the progress of fabric development, ensuring adherence to timelines and quality standards.
• On-Site Development & Revisions:
o Revisit mills as needed to oversee the development of samples, ensuring that any revisions or adjustments are implemented correctly.
o Manage the submission process for sample approvals, ensuring that all necessary tests are completed, and results are communicated to both suppliers and FVO.
• Production Team Coordination:
o Collaborate closely with the production team to address any support needs, ensuring seamless integration between sourcing and production processes.
o Creating White Books of development for handover to the Bulk production.
4. Reporting & Communication
• Daily Updates:
o Provide daily updates to FVO on the status of sample development, mill vetting, and development activities, ensuring that all stakeholders are kept informed of progress and any issues.
• Test Report Management:
o Oversee the testing process for samples, ensuring that all test reports are accurately recorded, filed, and communicated to the relevant stakeholders.
• Revision Follow-Up:
o Track any required revisions to samples, coordinating with mills to ensure timely delivery of updated samples and keeping FVO informed of the status for each product.
• Weekly & MIS Reporting:
o Prepare and update key reports for weekly meetings, including progress updates, quotation reports, and comprehensive MIS reports, providing a complete overview of ongoing tasks and projects.
5. Supplier & Vendor Management
• Supplier Sample Maintenance:
o Maintain organized records of all supplier samples, ensuring they are easily accessible for reference during the sourcing and production processes.
• White Book Management:
o Maintain a detailed "White Book" for each mill, organized by product, to track performance, compliance, and other critical data points for ongoing supplier evaluation.
• Vendor Sourcing & Coordination:
o Source and procure necessary items such as machinery, furniture, tools, Packing Materials and other materials required for production, ensuring all purchases are aligned with the company’s quality standards and cost-effectiveness.
o Follow up with vendors on the delivery and quality of items, including specific tools like pin force gauges, ensuring that all equipment meets the required specifications.
6. Quality Control & Compliance
• Sample Quality Assurance:
o Oversee the quality control process for all samples, ensuring they meet the specified requirements before submission for approval.
• SOP Compliance:
o Ensure that all sourcing activities adhere to the company’s Standard Operating Procedures (SOPs), addressing any non-compliance issues promptly.
7. Miscellaneous Duties
• Development Tasks:
o Assist with any additional development-related tasks as assigned by the Sourcing Manager and/or General Manager, ensuring they are completed efficiently and to a high standard.

• Attention to detail in managing sample tracking, supplier vetting, and quality control processes.
• Excellent interpersonal skills, with a focus on building and maintaining strong relationships with suppliers, mills, and internal teams.
• Proactive problem-solving abilities, with a focus on finding solutions that meet both customer requirements and company objectives.
