Job Description:

Key Responsibilities:


1. Vendor Management:
• Identify, negotiate, and manage relationships with vendors and suppliers.
• Source reliable suppliers for hospitality and construction materials, ensuring quality and competitive pricing.
• Maintain vendor database and ensure timely communication and follow-ups for delivery schedules.

2. Material Procurement:
• Procure hospitality items such as food, beverages, linens, and equipment.
• Learn and manage the procurement of construction materials for ongoing project work.
• Ensure timely delivery of materials in line with operational and project needs.

3. Market Research and Cost Control:
• Conduct market research to identify trends and source better-quality or more cost-effective alternatives.
• Negotiate terms and contracts with vendors to ensure cost efficiency while maintaining quality standards.

4. Inventory and Stock Management:
• Coordinate with stores and project teams to assess stock levels and forecast material needs.
• Monitor inventory and ensure proper documentation of received goods and supplies.

5. Documentation and Reporting:
• Maintain accurate records of purchase orders, delivery notes, and vendor agreements.
• Generate regular procurement reports, including budget usage and cost analysis.

6. Communication and Coordination:
• Communicate effectively with internal teams to understand material requirements and timelines.
• Liaise with vendors and ensure clarity in requirements, quality expectations, and delivery terms.
• Ability to communicate fluently in English, Hindi, and Bengali.

7. Compliance and Policies:
• Ensure all procurement activities comply with company policies and regulations.
• Follow ethical practices and ensure transparency in all transactions.

Key Skills and Qualifications:
• Education: Bachelor’s degree in any discipline. Certification in procurement or supply chain management is an advantage.
• Experience: 3 to 5 years of experience in procurement, preferably in the hospitality or construction industry.
• Proficiency in MS Office (Excel, Word) and familiarity with procurement software/tools.
• Strong negotiation skills and the ability to build lasting vendor relationships.
• Excellent organizational and time-management skills.

Preferred Attributes:
• Background in hospitality procurement with a willingness to learn construction material sourcing.
• Honest, smart, and capable of handling multiple tasks simultaneously.
• Strong verbal and written communication skills in English, Hindi, and Bengali.
• Adaptable and proactive with a problem-solving mindset.
