Job Description:
A Dispatch Clerk is responsible for coordinating and scheduling the delivery of goods or services to customers by managing outgoing shipments, assigning drivers or technicians to deliveries, tracking delivery status, handling paperwork, and ensuring timely and accurate order fulfillment through communication with customers, drivers, and other staff membersessentially acting as the central point of contact for logistics operations within a company. 
 
Key responsibilities of a Dispatch Clerk:
  • Order Processing:
    Receiving customer orders via phone, email, or online platforms, entering order details into a database system. 
     
  • Driver Assignment:
    Assigning drivers or technicians to delivery routes based on availability and location. 
     
  • Delivery Tracking:
    Monitoring the status and location of deliveries in real-time using tracking systems. 
     
  • Communication:
    Maintaining contact with drivers, customers, and other departments to address any issues or updates regarding deliveries. 
     
  • Documentation:
    Preparing and maintaining necessary paperwork including invoices, delivery receipts, and shipping labels. 
     
  • Route Optimization:
    Utilizing mapping software to plan efficient delivery routes 
     
  • Problem Solving:
    Addressing any delays or unexpected issues that may arise during deliveries 
     
  • Reporting:
    Generating reports on delivery performance, including metrics like on-time delivery rates and customer satisfaction 
     
 
Required skills for a Dispatch Clerk:
  • Excellent communication skills, both verbal and written
  • Strong organizational and time management abilities
  • Proficiency in computer applications, including logistics software and mapping tools
  • Attention to detail and accuracy in data entry
  • Ability to work under pressure and meet deadlines
  • Basic understanding of geography and route planning 
     
 
Work Environment:
A Dispatch Clerk typically works in an office setting, primarily seated at a computer, communicating with drivers, customers, and other staff members via phone, email, and radio.
