Position Overview:
The role involves managing procurement, material coordination, and project documentation to
ensure the seamless execution of civil and electrical projects. Key responsibilities include record
maintenance, BOQ preparation, supplier engagement, and close coordination with project teams and
stakeholders. The ideal candidate will have strong organizational skills, attention to detail, and the
ability to manage multiple tasks effectively.
Key Responsibilities:
1. Record Maintenance: Ensure accurate and comprehensive record-keeping for procurement,
project activities, and materials in alignment with company policies and standards.
2. Preparation of Bill of Quantities (BOQ): Prepare detailed BOQs for both civil and electrical
works, ensuring proper documentation and alignment with procurement requirements.
3. Procurement Enquiries: Issue procurement inquiries to suppliers and vendors, gathering
necessary quotations and ensuring timely responses to support project timelines.
4. Quote Preparation and Cost Analysis: Prepare various quotes and cost summaries,
conducting cost difference analyses to ensure value-driven procurement decisions.
5. Approval Coordination: Actively follow up with engineers, project managers, and other
stakeholders to obtain necessary project and procurement approvals in a timely manner.
6. Inspection Coordination: Raise inspection requests and liaise with relevant parties to ensure
inspections are conducted promptly and in accordance with project specifications.
7. Purchase Order (PO) Management: Prepare and issue purchase orders following material
finalization, and maintain effective follow-up with manufacturers and project teams to
ensure on-time delivery.
8. Project and Site Coordination: Maintain regular communication with site teams to address
project requirements, ensure materials are available, and resolve any procurement-related
issues.
9. Material Dispatch and Delivery Tracking: Track the dispatch and arrival of materials,
ensuring timely and accurate deliveries to the project site.
10. Material Reconciliation and Invoice Processing: Conduct material reconciliation between
site records and manufacturer delivery, and follow up with suppliers regarding invoices and
deliveries to ensure consistency.
11. Preparation of Joint Measurement Certificates (JMC): Prepare accurate and timely Joint
Measurement Certificates (JMC) for site billing, in accordance with project milestones and
completed work.
12. Bar Bending Schedule (BBS) Preparation: Prepare detailed Bar Bending Schedules (BBS) for
steel procurement, ensuring all steel requirements are accurately documented and met.
13. Project Communication and Documentation: Draft formal correspondence, including letters
for project approvals and communications with clients, ensuring clarity, professionalism, and
alignment with project goals.
