Executive Assistant
Job Description:
Job Purpose
The Executive Assistant will provide high-level administrative support to executives, assisting in strategic planning, decision-making, and organizational management. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to anticipate the needs of executives.
Roles & Responsibilities
Executive Support:
Manage executives calendars, scheduling appointments, meetings, and travel arrangements.
Screen and prioritize incoming communications, including emails, phone calls, and correspondence.
Prepare agendas, presentations, and other materials for executive meetings and engagements.
Conduct research and gather information to support decision-making and strategic initiatives.
Strategic Planning:
Assist in the development and implementation of strategic plans and initiatives.
Coordinate with various departments and stakeholders to gather data and insights for strategic analysis.
Help prioritize projects and allocate resources effectively to meet strategic objectives.
Monitor progress on strategic goals and provide regular updates to executives.
Project Management:
Oversee and coordinate projects on behalf of the executive team, ensuring timely completion and alignment with strategic priorities.
Track project milestones, budgets, and deliverables, providing status reports as needed.
Anticipate potential risks and proactively address issues to keep projects on track.
Communication and Liaison:
Serve as a liaison between executives and internal/external stakeholders, maintaining professional and diplomatic communication.
Draft and edit correspondence, reports, and presentations on behalf of executives.
Facilitate communication within the executive team and across departments to ensure alignment on key initiatives.
Confidentiality and Discretion:
Handle sensitive information with the utmost confidentiality and discretion.
Maintain strict confidentiality regarding executive decisions, discussions, and proprietary information.
Exercise judgment and tact in all communications and interactions.
Education and Experience
Bachelor degree in Business Administration, Management, or related field preferred.
Proven experience 10 years as an Executive Assistant or similar role supporting senior executives.
Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
Excellent communication and interpersonal skills, both written and verbal.
Proficiency in office productivity tools (e.g., Microsoft Office Suite, Google Workspace).
Discretion and confidentiality are paramount.
Experience in strategic planning, project management, or business analysis is a plus.
