Job Description:
  1. Perform and supervise general office activities: greeting visitors, filing, photocopying, processing outgoing and incoming mail, routing and screening all incoming calls, and distributing messages to appropriate team members.
  2. Oversee the preparation, analysis, negotiation, and review of contracts related to purchasing materials, supplies, products, or services.
  3. Provide or oversee centralized operations and procedures of services.
  4. Plan and coordinate monthly meetings.
  5. Create and maintain effective internal controls for inventory.
  6. Maintain and safeguard incoming and outgoing records of chemicals, petty cash, machines, stationery, gloves, shoes, goggles, uniforms, books, laptops and miscellaneous.
  7. Manage the organization’s office and storage space. Perform as link with various vendors, providing chemical, uniforms and all the materials required.
  8. Source and maintain vendor invoices and employee expense reimbursement forms and communicate to Accounting Department
  9. Ensure entire operations team adhere to policies and regulations
  10. Monitor inventory of office supplies and the purchasing of new material with attention to budget given.

Candidate Profile

  1. Ability to present information in a consistent, organized and accurate way in excel (Proficient in MS Office)
  2. Ability to communicate and work effectively with staff, the Director, and vendors.
  3. Ability to work in a self-directed, organized manner.
  4. Good working knowledge of office procedures and office management.
  5. Excellent ability to effectively communicate in both a verbal and written manner
  6. Excellent telephone receptionist skills.
  7. Ability to understand technical instructions.
  8. In-depth understanding of office managementprocedures and departmental and legal policies
  9. Education : Graduate
  10. Experience: 2-4 years as a admin/office assistant.
