Job Description:

 

  • Material Receipt and Inspection:
    • Receive incoming materials, including raw materials, components, spare parts, and other supplies.
    • Verify materials against purchase orders, delivery challans, and invoices for accuracy in quantity and specifications.
    • Inspect materials for damage or defects upon receipt and report any discrepancies or issues to the Stores Manager and relevant departments.
    • Ensure proper documentation of all incoming materials (e.g., Goods Receipt Note - GRN).
  • Storage and Material Handling:
    • Organize and maintain the storage of materials in a safe, orderly, and logical manner, ensuring easy access and retrieval.
    • Implement and adhere to proper material handling procedures to prevent damage, spoilage, or obsolescence.
    • Ensure appropriate storage conditions for sensitive materials (e.g., temperature, humidity control) as per engineering specifications.
    • Manage bin cards, stock ledgers, and other inventory records, both manually and using inventory management software.
  • Inventory Management and Control:
    • Maintain accurate stock records and ensure real-time updates in the inventory management system.
    • Conduct regular physical stock verification, cycle counting, and annual stock-taking.
    • Investigate and resolve stock discrepancies.
    • Monitor stock levels and identify reorder points to prevent stockouts and overstocking.
    • Implement First-In-First-Out (FIFO) or other appropriate inventory valuation methods.
    • Identify and report slow-moving, non-moving, and obsolete stock for appropriate action.
  • Material Issuance and Dispatch:
    • Issue materials to production, maintenance, or other departments based on authorized material requisitions.
    • Ensure accurate picking, packing, and dispatch of finished goods or spare parts as per dispatch orders.
    • Prepare and maintain all relevant dispatch documentation.
  • Coordination and Communication:
    • Liaise with procurement, production, planning, and maintenance departments to ensure smooth material flow.
    • Communicate effectively with suppliers and transporters regarding deliveries and dispatches.
    • Provide timely information on stock availability and material status to relevant stakeholders.
  • Safety and Housekeeping:
    • Ensure a clean, safe, and organized stores environment.
    • Adhere to all safety regulations and procedures related to store operations and material handling.
    • Participate in safety drills and training programs.
  • Documentation and Reporting:
    • Maintain and update all store-related documents, records, and registers.
    • Prepare regular reports on inventory levels, stock movements, discrepancies, and other store activities as required by management.
