Job Description:

Job Summary:

We are seeking a proactive and detail-oriented Operations Coordinator with a strong background in shipping and logistics. The ideal candidate will have hands-on experience in vessel operations, documentation, and coordination with internal and external stakeholders to ensure smooth cargo movement and operational efficiency.

Key Responsibilities:

1. Vessel & Cargo Operations:

• Coordinate with port agents, terminals, and vessel operators for berthing, loading/unloading, and sailing schedules.

• Ensure timely vessel turnaround and adherence to operational plans.

• Monitor cargo movement and maintain records of shipments.

2. Documentation & Compliance:

• Prepare and verify shipping documents such as Bill of Lading, manifests, delivery orders, etc.

• Ensure compliance with all regulatory, customs, and port authority requirements.

• Maintain documentation accuracy for import/export operations.

3. Customer & Stakeholder Coordination:

• Act as a key point of contact between customers, shipping agents, transporters, and internal teams.

• Provide regular shipment updates and handle customer queries efficiently.

• Coordinate with overseas offices and principals for operational instructions.

4. Operational Reporting & MIS:

• Maintain operational reports, vessel schedules, and performance statistics.

• Analyze operational data and suggest process improvements for efficiency.

• Prepare monthly reports on vessel performance, delays, and cost control.

5. Cost & Vendor Management:

• Coordinate with vendors for transportation, warehousing, and related services.

• Verify vendor invoices and assist in cost optimization initiatives.

• Support procurement and service contract management as needed.

Key Skills & Competencies:

• Strong understanding of liner shipping operations, vessel scheduling, and cargo documentation.

• Excellent coordination and communication skills (verbal & written).

• Proficiency in MS Office and shipping ERP systems.

• Ability to multitask and handle time-sensitive operations.

• Problem-solving mindset with attention to detail.
