Position              : Documentation Administrator
Experience          : 8 – 10 Yrs.
Job Type             : Onsite (Full Time)
Education           : A minimum of a first-class Bachelor's degree from a Reputed university.
Salary                  : As Per Company Standards
Location              : Mumbai (Jogeshwari West)
Working Time     : Monday to Friday - 11:30 to 9:30 PM (For Ladies its 10:30 am to 8:30 pm) || Saturday 1:30pm to 7:30pm (To be aligned with East African and UK working hours)
Working Days      : 6 Days

Responsibilities:

  • Ensure documentation as required for each shipment the Company makes is accurate before sending to buyers.
  • Preparation of documentation sets based on pre-defined lists per buyer based on received documents.
  • Detailed verification of documentation that is received from suppliers to ensure complete accuracy and timely follow-ups for pending or corrected documents.
  • Verification of shipping documentation in terms of data written therein to ensure complete accuracy before sending to buyers.
  • Daily reconciliation of pending documentation per shipment.
  • A very high level of spoken and written English and mental arithmetic, with an eye for detail in figure work.
  • Strong ability for inbox management - to prioritize and sort email correspondence in line with the Company’s communication protocols.
  • Approachable, polite and friendly even whilst under pressure and heavy workloads – particularly as the existing staff have been with the Company for many years.
  • Integral, a team player to juniors and being able to operate without having the Owner present.
  • Full-time telephone and WhatSapp correspondence with counterparties related to the business (service providers, suppliers, buyers, other parties) on invoicing, payments, etc.
  • Real-time internal communication and coordination of tasks within different areas in the Group (across different time zones - primarily, Middle/East and Africa).
  • A knowledge of metal trading is welcomed but not essential, though one must have a strong drive to learn and grow.
  • Willingness to understand the business in its entirety rather than just one aspect – finance, logistics, operations, sales, relationship management to name a few.
  • Key qualities for the role – accuracy, ability to operate under pressure in a fast-paced work environment with a high level of integrity, and ability to assume ownership and responsibility over the role.
  • Previous job experience involved experience at a freight forwarder, shipping line, or logistics company dealing in international freight movements.
  • Well versed in general IT, MS Office, and Tally - no other technical knowledge required – ERP training given on the job.
  • Fast typing skills and highly efficient multi-tasking abilities.
  • Asian language (Hindi and/or Gujarati) fluency.
  • Ability to adapt to different cultures (Central African counterparties on one end, blue chip Western customers on the other end).
