Skills: The Lead Executive - Administration will lead front office and administrative operations, ensuring smooth coordination across facilities, travel, guest relations, and employee engagement activities.

The role requires strong leadership, communication, and organizational skills to manage both people and processes effectively.

 

Job Responsibilities:

  1. Team & Front Office Management

Supervise and guide 2 blue collar front executives, ensuring adherence to organizational standards.

Manage reception desk, visitor handling, and overall front office operations.

 

  1. Guest & Travel Management

 Handle end-to-end travel and hospitality arrangements for Turkey & Sweden guests/employees visiting India including visas, flight bookings, accommodation, and local transport.

Coordinate domestic travel requirements for employees as per policy.

 

  1. Facilities & Administration

 Oversee housekeeping, pantry, canteen services, conference rooms, and garden/landscape maintenance.

Manage courier services inward/outward, records, and vendor coordination.

 

  1. Security & Transportation

 Monitor and coordinate with security agencies for round-the-clock safety of premises.

Manage company bus transportation services routes, schedules, and vendor liaison.

 

  1. Vendor & Invoice Management

 Liaise with vendors for facility, canteen, housekeeping, travel, and admin-related services.

Track, verify, and clear monthly vendor invoices in coordination with Finance.

Ensure cost efficiency without compromising quality.

 

  1. Events & Employee Engagement

 Plan and manage corporate events, social gatherings, and official functions in coordination with HR & Admin team.

Support employee engagement activities to strengthen workplace culture and team spirit.

Assist in organizing meetings, workshops, and conferences.

 

  1. Coordination & Support

Provide administrative assistance to senior leadership and cross-functional departments.

Ensure smooth communication and coordination across all levels of the organization.

 

  1. Housekeeping & Plant Facility Management 

Oversee housekeeping of plant and office facilities, ensuring cleanliness, hygiene, and safety standards.

Manage and supervise housekeeping staff/team, assigning duties and monitoring daily activities.

Coordinate with housekeeping vendors for manpower, material, and quality of services.
