Job Description:

Role Overview

We are seeking a well-organized and customer-focused Receptionist to manage front-desk operations and ensure smooth administrative support. The ideal candidate should have strong communication skills, a pleasant personality, and hands-on experience in reception, office coordination, and administrative tasks.


Key Responsibilities

Front Office Management

  • Greet walk-in and telephonic clients in a friendly and professional manner.

  • Handle incoming/outgoing phone calls and transfer to appropriate departments.

  • Maintain a clean, organized, and welcoming reception area.

Administrative & Office Coordination

  • Monitor office ambience and maintain daily checklists.

  • Manage office inventory, pantry supplies, and place orders as needed.

  • Maintain various registers (attendance, courier, visitor, housekeeping, certificates).

  • Sort and forward emails; manage incoming/outgoing mail, courier entries, and documentation.

  • Handle bills for printing, stationery, telephone, and courier services.

  • Coordinate and maintain AMC (Annual Maintenance Contracts).

Client & Visitor Handling

  • Assist with scheduling appointments and meetings.

  • Manage guest arrivals, maintain visitor records, and ensure smooth client experience.

Healthcare & Assistant Duties 

(From Dental Clinic experience)

  • Assist doctor during procedures and dental treatments.

  • Schedule patient appointments and follow up for treatments.

  • Coordinate with labs and maintain daily patient follow-ups.

     

Additional Responsibilities

  • Manage office boys and housekeeping staff.

  • Handle sending and receiving invitations, packages, and flowers.

  • Follow up on payments (where applicable).


Required Skills

  • Strong communication skills (English, Hindi, Marathi).

  • . Proficiency in MS Office, MS Excel, Email handling, and basic computer operations.
  • EPABX handling experience.

  • Good organizational and multitasking abilities.

  • Pleasant personality with a customer-service mindset.
