Job Description:

Position:          Dispatch & Logistic Coordinator

Location:         Mumbai

Experience:     3 - 5 Years

Industries:      Pharma - API

 

Responsibilities:

  • Order Receipt & Verification :

  • Receive and verify customer orders and supporting documents from the Sales/Marketing Team (including product specifications, customer-specific specifications, PO, delivery instructions and packing instructions).
  • Validate order details for quantity, specifications, and delivery timelines.
  • Coordinate with Production Planning to confirm feasibility and schedule commitment.
  • Production Coordination :
  • Follow up with the Plant Production Team to monitor order progress as per schedule.
  • Share customer-specific requirements (additional tests, customer-specific specifications incl. but not limited to particle size, working standard, impurity standard, packaging, labelling, etc.) with Production.
  • Communicate any deviations, material shortages, or capacity issues to stakeholders on time.
  • Quality Control, Quality Assurance (QA) and Regulatory Coordination :
  • Share customer-specific requirements like additional tests, customer-specific specifications,
  • Maintain alignment between QA, Production, and Dispatch to avoid any non-compliance or delay due to quality holds.
  • Dispatch Planning & Logistics :
  • Plan dispatches in coordination with Dispatch coordinator at Plant (Subba Rao and Vikash), and Sales Teams based on customer priority and readiness.
  • Ensure batch allotments are such that there is minimum inventory of approved finished goods.
  • Ensure that despatch details are shared with (LR, transporter, vehicle number) with stakeholders i.e. customer and sales team.
  • Billing & Documentation :
  • Coordinate with the Sales, Accounts/Invoice Team for timely PDI and invoice generation.
  • Customer Communication & Payment Follow-up :
  • Keep Marketing team/customers updated on dispatch and delivery status.
  • Resolve issues related to invoices, short supplies, or delivery mismatches.
  • Coordinate with internal teams to ensure prompt resolution of customer complaints.
  • Reporting, Trackers & MIS Maintenance :
  • Maintain all sales & orders related trackers
  • Prepare and update MIS reports on order status, production progress, stock position, and dispatch details.
  • Track pending orders, stock position, sold-unsold, delayed deliveries, and payment status for management review maintaining high data accuracy.
  • Support management in preparing monthly dashboards and performance summaries.
  • Process Improvement & Coordination :
  • Identify areas for improvement in communication flow, documentation, and dispatch efficiency.
  • Suggest process enhancements to streamline coordination between Sales, QA, Production, Regulatory, Accounts, and Logistics.
  • Contribute to cost optimization, improved turnaround time, and higher customer satisfaction.

Required Skills:

  • Strong coordination and communication skills (inter-departmental and customer-facing).
  • Understanding of dispatch, logistics, and documentation processes.
  • Basic knowledge of Quality Assurance and regulatory documentation (CoA, batch release,etc.).
  • Proficiency in MS Excel / ERP for MIS and tracking.
  • Attention to detail, follow-up discipline, and problem-solving ability.

 

Required Qualification: - Any Graduate

Salary :- Upto 7.00 LPA
