Role & Responsibilities (R in BARE Fit)

Role Summary

The Junior Proposal & RFP Executive will support the preparation of proposals, tenders, and RFP responses by analyzing bid documents, extracting key requirements, coordinating with internal teams, and drafting structured, compliant, and high-quality proposal content. The role plays a critical part in supporting business development and ensuring timely submissions.

KRA: Task / Activities

  •  Read, analyses, and interpret RFPs, RFQs, EOIs, and tender documents.
  •  Identify scope, eligibility criteria, submission formats, and compliance requirements.
  •  Prepare concise RFP summaries for internal review and decision-making.

 Draft, format, and edit proposal sections such as company profiles, capability statements, methodologies, and timelines.

  •  Coordinate with internal teams (research, finance, operations, leadership) to gather required inputs.
  •  Maintain version control and ensure compliance with submission guidelines.
  •  Develop and update standard templates, boilerplate content, and reusable proposal materials.
  •  Support preparation of presentations, cover letters, annexures, and supporting documents.
  •  Track upcoming tenders and maintain a database of opportunities.
  •  Prepare submission checklists and ensure completeness before final submission.
  •  Ensure timely delivery of drafts and final proposals.

 

 

KPI: Performance Metrics

  •  Accuracy and completeness of RFP summaries and proposal drafts.
  •  Compliance rate with RFP/tender requirements.
  •  Timeliness of proposal submissions.
  •  Quality and clarity of written content.
  •  Effectiveness of coordination with internal stakeholders.
  •  Reduction in rework and errors in submissions.

  •    Strong ability to read, understand, and interpret technical and commercial documents.
  •   Good written communication skills with structured and clear writing ability.
  •   Basic proficiency in MS Word, PowerPoint, Excel, or Google Workspace.
  •   Strong attention to detail and adherence to formatting guidelines.
  •   Ability to manage multiple tasks and meet tight deadlines.
  •   Strong coordination and organizational skills.

 

 

·         Exposure to proposal preparation, tenders, or government bidding portals.

·         Basic understanding of project management or service delivery models.

·         Familiarity with compliance matrices, checklists, and document formatting tools.
