Job Description

Position Title: Store Keeper

Role Purpose

The Store Keeper is responsible for ensuring accurate receipt, storage, issuance, and documentation of materials used across production, quality control, and R&D functions. The role plays a critical part in maintaining inventory accuracy, material traceability, compliance with storage SOPs, and supporting uninterrupted operational activities at Krishgen Biosystems.

Key Roles & Responsibilities

1. Material Receiving & Verification

  • Physically receive incoming materials, consumables, and components from suppliers.
  • Verify received materials against approved Purchase Orders (POs), delivery challans, and invoices.
  • Inspect materials for quantity accuracy, visible damages, expiry dates, batch details, and specification compliance.
  • Highlight discrepancies, damages, or deviations immediately to the Purchase and Quality teams for resolution.
  • Ensure proper inward documentation is completed and acknowledged.
  • Maintain all records in SAP

  

2. Stocking, Storage & Labelling

  • Label all materials clearly with product identification codes, batch numbers, receipt dates, and expiry details as applicable.
  • Store materials in designated bins, racks, or storage zones in line with approved storage SOPs.
  • Follow special handling requirements for temperature-sensitive, fragile, hazardous, or regulated materials.
  • Ensure FIFO / FEFO principles are followed during storage and retrieval to minimize wastage and expiry risks.
  • Maintaining proper physical records register for all stock along and reconcile with the SAP records.

 

3. Issuing Materials to Departments

  • Issue materials to Production, Quality Control (QC), and R&D teams strictly against approved Material Requisition Slips (MRS) and strictly follow the process set in the Company.
  • Ensure material issuance is prioritized based on inventory availability, urgency, and operational requirements.
  • Maintain accuracy in quantities issued and ensure traceability of batch-wise consumption and ensure the records are updated in the SAP
  • Coordinate closely with internal teams to support smooth workflow and avoid material shortages. Share updated communication with the teams promptly and also update the SAP records with the updates.

 

4. Inventory Record Keeping & Documentation

  • Maintain accurate physical and system-based inventory records for all receipts, issues, and balances. Update the SAP records with all the information.
  • Update stock cards, logbooks, ERP/system entries, and registers on a real-time basis to ensure the SAP system is updated with the current status of materials at any given point of time.
  • Ensure proper filing and traceability of all store-related documents including GRNs, MRS, and stock registers.
  • Support data accuracy for management reviews and operational planning.

5. Stock Audits

  • Participate actively in weekly, monthly, and periodic cycle counts and physical stock audits.
  • Identify, report, and assist in investigating inventory variances or discrepancies.
  • Support reconciliation of physical stock with system records.
  • Assist internal and external auditors by providing accurate records, explanations, and documentation as required.

6. Store Cleanliness & Shelf Management

  • Maintain high standards of cleanliness, hygiene, and orderliness within the store area.
  • Ensure shelves, racks, and bins are clearly labelled and materials are neatly organized.
  • Follow safety, housekeeping, and compliance guidelines as per organizational and regulatory standards.
  • Prevent mix-ups, cross-contamination, or misplacement of materials through disciplined storage practices.

 

7. Stock Monitoring & Alerts

  • Monitor inventory levels on a regular basis and identify low stock, expired, near-expiry, or slow-moving items.
  • Proactively share information with the Purchase team or Warehouse Head about replenishment requirements to avoid stock-outs.
  • Flag overstock situations, obsolete materials, or non-moving inventory for management decision-making.
  • Support inventory optimization and cost control initiatives.

 

Key Skills & Competencies

  • Basic knowledge of inventory management and store operations
  • Attention to detail and accuracy in documentation
  • Understanding of FIFO / FEFO and storage SOPs
  • Ability to follow compliance-driven processes
  • Basic computer skills (ERP / inventory systems preferred)
  • Good coordination and communication skills
  • Excellent and hands-on experience working in SAP

Qualifications & Experience

  • Diploma / Graduate in any discipline (Supply Chain, Logistics, or Science preferred)
  • 1–4 years of experience in storekeeping, preferably in life sciences, biotech, pharma, or manufacturing environments
  • Familiarity with lab consumables, reagents, or regulated materials is an added advantage
