Job Description:
An Admin & Security Executive in real estate manages daily office operations, oversees site logistics, and implements physical and digital security protocols. They bridge administrative efficiency with protective oversight to ensure that property sites, client meetings, and corporate assets remain safe, organized, and compliant. [1]
Core Responsibilities
Office & Facility Administration
- Site Operations: Maintain office cleanliness, ensure site readiness, and manage the procurement and inventory of office supplies and equipment.
- Vendor Management: Coordinate with facility maintenance teams, housekeeping, and security personnel.
- Reception & Communication: Handle front-desk duties, greet clients/vendors, route incoming calls, and manage correspondence.
- Documentation & Records: Maintain organized files, contracts, employee records, and property documentation. [1, 2, 3, 4]
Security & Asset Protection
- Access Control: Oversee visitor management systems, issue security passes, and monitor entry/exit points for offices and real estate sites.
- Surveillance & Threat Monitoring: Oversee security personnel, monitor CCTV feeds, and conduct regular patrols to prevent unauthorized access or property damage.
- Emergency Preparedness: Formulate, implement, and lead crisis management and business continuity plans (e.g., fire drills, evacuation procedures).
- Incident Reporting: Draft and maintain detailed security logs, investigate breaches, and provide risk assessments to management. [1, 2, 3, 4]
Real Estate & Financial Support
- Lease & Property Admin: Track real estate agreements and update property management or CRM software.
- Compliance: Ensure all site and administrative operations comply with local real estate laws, data privacy standards, and health regulations.
- Finance Support: Assist the finance team with verifying vendor invoices, tracking expense reports, and recording maintenance fee collections or CAM (Common Area Maintenance) charges. [1, 2, 3]
Key Requirements & Skills
- Experience: Typically 2–5 years in administrative, facility, or security management roles, preferably within the real estate or property management sector.
- Skills: Strong proficiency in MS Office (Excel, Word) and property management/accounting software.
