Job Description:

Work Experience

  • 3–5 years of experience as an Executive Assistant / Secretary to the Managing Director or Senior Leadership.
  • We are not looking for a conventional E.A. We require someone proactive, sharp, highly organized, and solution-oriented, someone who can anticipate requirements, take ownership, and act independently (similar to the efficiency and execution standards demonstrated in The Devil Wears Prada).
  • Candidates with experience as an Office Coordinator having strong administrative and coordination capabilities will also be considered.

 Educational Qualification

  • Graduate from a recognized university.
  • Secretarial training or certification preferred.

Skill Set Required

  1. Exceptional Follow-Up Skills (Non-Negotiable) This is the most critical requirement.
  • Ability to track tasks, commitments, payments, meetings, reports, and ensure timely closure without repeated reminders.
  • Strong ownership mindset and accountability.
  • Ability to maintain trackers and ensure zero pending actions. Candidates without strong follow-up discipline will not be considered.
  1. Technical Skills
  • Strong working knowledge of MS Office (Excel & Word mandatory). \
  • Ability to prepare reports, maintain MIS, manage documentation, and structure information professionally.
  • Shorthand preferred.
  1. Communication Skills
  • Good command over English (spoken and written).
  • Confident in drafting professional emails and official correspondence. Key Responsibilities
  • Manage the Managing Director’s calendar, meetings, and scheduling.
  • Ensure continuous follow-up with internal teams and external stakeholders.
  • Prepare reports, presentations, MIS trackers, and documentation.
  • Coordinate with departments, vendors, and clients.
  • Maintain strict confidentiality of sensitive business matters.
  • Handle both professional and occasional personal tasks of the Managing Director with discretion. Personal Arbutus

  • Stable employment history (not a frequent job-switcher).

 

  • Preferably married, with a stable family background.
  • Residing within 45 minutes of travel time from the office.
  • Highly organized, disciplined, and calm under pressure.
