Role Purpose
To manage and drive the end-to-end Background Verification (BGV) process for all categories of employees including permanent, contractual, part-time, and temporary staff, ensuring compliance, accuracy, and adherence to defined timelines across the organization.
Key Responsibilities
- BGV Process Management
- Manage end-to-end BGV operations for all new joiners (pre-joining and post-joining checks).
- Ensure 100% compliance—no candidate is onboarded without completion/clearance of mandatory BGV checks.
- Handle BGV for ~10,000+ hires annually across multiple locations.
- Vendor Management
- Act as the single point of contact for the BGV vendor.
- Monitor vendor performance and ensure adherence to defined Turnaround Time (TAT).
- Proactively follow up and escalate in case of delays or quality issues.
- Drive continuous improvement in vendor delivery and accuracy.
- System & Platform Management
- Manage and monitor BGV workflows through the Darwinbox platform (vendor-integrated system).
- Ensure seamless coordination between internal stakeholders and vendor through the system.
- Maintain data integrity and real-time tracking of all cases.
- Monitoring & Governance
- Conduct daily tracking of joinings and BGV status.
- Ensure strict governance so that no deviations or policy breaches occur.
- Identify and highlight anomalies, discrepancies, and risks in verification outcomes.
- Maintain audit readiness and ensure compliance with internal and regulatory guidelines.
- Reporting & Analytics
- Generate and manage MIS reports, dashboards, and trackers related to BGV.
- Analyze data trends and present insights to senior management.
- Create visually compelling reports (Excel/PPT dashboards) for leadership reviews.
- Provide actionable insights to improve process efficiency and compliance.
- Stakeholder Management
- Liaise extensively with HR, recruitment teams, business stakeholders, and vendor partners.
- Ensure smooth coordination across regions for timely onboarding.
- Drive awareness and adherence to BGV processes among all stakeholders.
Key Requirements
Education
- Full-time MBA in HR from a reputed institute
Experience
- Minimum 5+ years of relevant experience in managing Background Verification processes at scale
- Experience in handling high-volume hiring environments (preferably BFSI / Life Insurance)
Skills & Competencies
- Strong understanding of BGV processes, compliance, and risk mitigation
- Excellent vendor management and coordination skills
- Advanced proficiency in Microsoft Excel (mandatory)
- Strong data analysis and reporting skills
- Ability to create management-level presentations and dashboards
- Excellent written and verbal communication skills
- High attention to detail and ability to identify anomalies
Role Expectations
- ~80% of the role will be dedicated to hands-on BGV operations and monitoring
- High ownership in ensuring zero non-compliance in onboarding
- Ability to work in a fast-paced, high-volume environment
