ROLE OVERVIEW

 

The Loan Closing Analyst supports the Closing department of a US-based SBA Certified Development Company in managing the post-escrow document collection sprint and financial analysis workflow that precedes each SBA funding submission. This role operates under significant deadline pressure — the client's monthly SBA submission cut-off dates are hard, and missing a cycle has direct financial consequences for borrowers.

The Closing Analyst must be organized, deadline-aware, and able to manage multiple loans at different stages simultaneously while maintaining clear priority flags for the onshore closing officers. All output is reviewed and approved by the Closing Officer before any submission or communication to third parties.

 

KEY RESPONSIBILITIES

 

Post-Closing Checklist Management

  • For each loan in the post-escrow phase: track status of all 36 SBA checklist items across multiple parties (title company, escrow, borrower, insurance agents, attorneys). Send templated follow-up emails as items fall due. Update Ventures with receipt confirmations. Flag outstanding items by priority level as directed by the Closing Officer — with particular attention to loans approaching the monthly SBA submission deadline.

 

Financial Spreading & SBA Summary Drafts

  • When updated financials are received from the borrower: enter data into Ventures (estimated 10–20 minutes per loan). Review the cash flow ratio output. Draft the Word document financial summary using the client's standard template, covering current ratio, total revenue, net income, and DSCR. Flag any DSCR below 1.1 to the Closing Officer before submitting. Escalating IRS discrepancies or unusual financial patterns immediately — do not normalize exceptions.

 

Closing Needs List Management

  • Track document receipt against the Closing Needs List issued to each borrower. Update checklist status in Ventures. Alert the Closing Officer when items are complete or when a borrower is non-responsive so onshore follow-up can be escalated.

 

Tax Transcript Review

  • Review IRS tax transcripts when received. Flag any discrepancies between transcripts and submitted financial statements to the Closing Officer. Update Ventures with receipt and review status.

 

Insurance Checklist Tracking

  • Verify endorsement requirements by loan authorization. Track receipt of property insurance, life insurance where required, and endorsement forms. Follow up with insurance agents via email using pre-approved outreach templates as directed by the Closing Officer. All phone contact with insurance agents remains onshore.

 

Entity Needs List Preparation

  • Prepare entity-specific document needs lists by deal type (LLC, corporation, trust, operating company) for the Closing Officer's review. Track receipt against each item.

 

Third-Party Report Tracking

  • Track receipt of third-party reports — appraisal, Phase I environmental, title commitment, flood certification — against the loan authorization conditions. Flag outstanding reports to the Closing Officer as the submission deadline approaches.

 

Document Organization & Filing

  • Maintain complete, organized closing files in Ventures. Ensure all received documents are correctly filed, named, and noted per the client's document management convention. Set up and maintain SharePoint data room for each loan in closing.

 

Priority Management

  • Maintain a clear view of which loans are closest to the monthly SBA submission deadline. Surface this proactively to the Senior Analyst and the Closing Officer at the start of each overnight shift so urgent items are actioned first.

 

REQUIRED SKILLS & EXPERIENCE

 

  • Loan closing or post-closing operations — Hands-on experience in commercial real estate loan closing, post-closing administration, or loan file management. Understands the flow from escrow closing through to funder submission. SBA 504 or CRE lending background preferred.
  • Deadline management under pressure — Track record of managing time-sensitive, multi-party document collection processes. Comfortable holding multiple loans at different stages simultaneously without dropping items.
  • Financial spreading — Able to enter and review interim financial statements (P&L, balance sheet) and tax returns in a loan management system. Able to draft concise financial summaries using a standard template. Not required to perform independent credit analysis — but must understand what the ratios mean and when to escalate.
  • Document management & accuracy — Meticulous with document tracking, naming, and filing. Understands that incomplete or misfiled documents in a regulated SBA submission context create real compliance risk.
  • Written communication — Strong written English for drafting follow-up emails to title companies, escrow officers, and insurance agents using pre-approved templates. Professional and clear even when managing unresponsive parties.
  • Systems proficiency — Comfortable in commercial loan management platforms and MS Word/Excel. Ventures experience is a strong advantage; experience with SharePoint for document management is helpful.

 

PREFERRED BACKGROUND

 

  • Prior experience at an SBA CDC, non-bank CRE lender, or title and escrow company
  • Familiarity with SBA 504 post-closing documentation requirements and SBA checklist structure
  • Experience preparing or reviewing SBA submission packages or condition clearance files
  • Exposure to working with US-based clients in an offshore or remote delivery model
  • Experience with Ventures loan management system
