ROLE OVERVIEW
The Loan Servicing Analyst supports the Servicing department of a US-based SBA Certified Development Company across its highest-volume, most time-intensive workflows. Working on an overnight delivery model, this role ensures that the client's servicing team arrives each morning to complete work product — boarding packages ready for review, insurance letters prepared, financial spreading completed, and tracking up to date.
The work is process-driven and detail-critical. This is not a judgment role, but it requires a strong grasp of SBA 504 servicing obligations and the ability to manage high volumes accurately within the overnight delivery window. All output is reviewed by the Servicing Director before any action is taken.
KEY RESPONSIBILITIES
Loan Boarding
- For each newly funded loan: complete entry into the CDC's loan management system (Ventures), populate the boarding information checklist, download the amortization schedule and confirm note details from the payment system, and prepare the welcome email draft with all required attachments for the Servicing Officer's review. Target turnaround: overnight delivery.
Annual Servicing Letter Campaign
- During the annual letter cycle: prepare outreach letters across the full active loan portfolio (1,600+ borrowers), track responses, flag outstanding items including insurance renewals, secretary of state filing issues, and delinquent property taxes. Update the loan management system as documents are received.
Financial Spreading & Risk Ratings
- Spread business and guarantor tax returns using the OCR auto-spread feature in Ventures. Review and correct cash-back adjustments per credit memo notes. Pull RMA benchmark ratios by NAICS code and complete risk rating documentation. Escalate anomalies or ratios below acceptable thresholds to the Senior Analyst for review.
Insurance Monitoring
- Track insurance expiry dates across all active loans. Prepare and send templated outreach letters on schedule (initial letter at three weeks pre-expiry, follow-up two weeks later, final notice two weeks after). Update the tracking log in Ventures. Flag loans require phone follow-up to the onshore servicing team — all borrower calls remain onshore.
Property Tax & Secretary of State Checks
- Run periodic manual checks on county assessor websites for property tax payment status. Flag delinquent accounts. Verify entity status on secretary of state portals for active borrowers as required by the annual servicing cycle.
1502 Report Preparation
- Compile monthly 1502 regulatory data from Ventures for the Servicing Director's review and submission to SBA via Colson. Accuracy on all regulatory data is non-negotiable — errors are escalated immediately, not corrected silently.
UCC Continuation Preparation
- Identify UCC filings approaching the five-year continuation window. Gather filing details, including attorney-filed UCCs requiring manual re-entry. Prepare continuation submissions for Servicing Director review before any filing action is taken.
ACH & Payment Administration
- Prepare ACH reject logs and draft templated borrower outreach emails for Servicing Officer review. Track payment exceptions and update Ventures accordingly.
General Tracking & Documentation
- Maintain accuracy of Ventures records. Update loan notes as activities are completed. Flag exceptions or discrepancies for Senior Analyst review before end of each overnight shift.
REQUIRED SKILLS & EXPERIENCE
- Loan servicing knowledge — Solid understanding of commercial loan servicing concepts — payment tracking, collateral monitoring, insurance requirements, covenant compliance, and delinquency management. SBA 504 or community bank servicing experience strongly preferred.
- Financial spreading — Able to read and spread business tax returns (1120, 1120S, 1065) and personal financial statements accurately. Familiar with DSCR calculation, cash flow analysis, and adjustments. Experience with Ventures or a comparable loan management system is a strong advantage.
- Process discipline & volume management — Comfortable working through high volumes of repeatable tasks accurately and to schedule. Understands that consistency and completeness — not speed alone — is what makes this role effective in an overnight delivery model.
- Excel proficiency — Comfortable with tracking spreadsheets, basic formulas, and structured data entry. The client uses custom Excel checklists as a core workflow tool.
- Written English — Clear written communication for preparing outreach letters, loan notes, internal tracking updates, and escalation summaries. Must be precise and professional in all written output.
- Regulatory awareness — Understands that errors on SBA-regulated deliverables — 1502 data, UCC filings, insurance tracking — carry compliance consequences. Treats accuracy as a non-negotiable standard.
PREFERRED BACKGROUND
- Prior experience in loan servicing at a commercial bank, credit union, SBA CDC, or non-bank lender
- Exposure to SBA programs (504 or 7A) in any capacity — processing, servicing, or compliance
- Experience operating within an overnight or offshore delivery model with US-based clients
- Familiarity with RMA Annual Statement Studies for risk rating analysis
- Experience with Ventures loan management system
